About the Role:
We are looking for a highly organized, detail-oriented, and tech-savvy Operations Coordinator to join our growing team. This role will support operational execution across retail stores, with a strong focus on store builds, retrofits, partner onboarding, and ongoing store support.

The ideal candidate has experience in project coordination, retail operations, and facilities management. You’re process-driven, an excellent communicator, and comfortable working with cross-functional teams in a fast-paced environment. A passion for streamlining processes and improving operational efficiency is key to success in this role.

Key Responsibilities:
1. Administration & Operational Updates

Manage store hours, closures, holiday schedules, and submit relevant updates to Rogers.

Coordinate manager account changes including demo follow-ups, password resets, and safe code access.

Manage office supply procurement (e.g., Grand & Toy).

2. Retail Communication & Process Management

Review, update, and maintain operations manuals and HUB content.

Maintain and update forms, store directories, and partner contact details.

Drive continuous process improvement initiatives within retail operations.

3. Program & System Support

Lead day-to-day support for Statflo, Seed and 1Mission training.

Monitor reminders, reassign leads, escalate unresolved issues, and share reporting insights.

Deliver basic onboarding and system training webinars for new users and partners.

4. Facilities, Renovations & Store Projects

Support the Project Manager with renovations, relocations, and new store builds, including vendor coordination and appointment booking.

Raise Help Tickets for store maintenance, fixtures, and facility repair needs.

Assist with booking trades and conducting annual facility audits.

Working with external vendors on projects.

5. Fraud & Compliance

Support internal fraud investigations through camera reviews and documentation updates.

Ensure proper reporting and collaboration with legal and HR teams as required.

6. Retail Partner & Channel Support

Act as the point of contact for escalations and ensure timely resolution.

Support backend administrative needs including monitoring team groups and HUB access.

Assist with partner onboarding, ID setup, and organizing training webinars.

Additional duties as assigned by Manager/Business and be back up to Manager in their absence

Required Skills & Experience:
3–5 years of experience in retail operations, project coordination, or facilities management.

Strong understanding of store build-outs, renovations, and maintenance.

Experience working with project management tools (e.g., Monday.com, Asana, Jira).

Ability to manage multiple priorities and projects simultaneously.

Detail-oriented, organized, and capable of delivering under tight timelines.

Excellent written and verbal communication skills.

Analytical mindset with the ability to interpret data and propose solutions.

Must be comfortable with occasional travel to retail locations for audits and setup.

Proficient in Microsoft Office Suite (especially Excel, PowerPoint) and comfortable with learning new technologies quickly.
