Job Overview
The Office & Finance Assistant will play a key role in supporting the smooth running of our office by handling bookkeeping tasks, managing office schedules, coordinating daily operations, and providing general administrative support.
Key Responsibilities:
- Perform bookkeeping duties, including accounts payable/receivable, invoicing, and bank reconciliations
- Assisted with payroll data preparation and maintained accurate financial records.
- Schedule caregiver shifts and manage calendar appointments for staff and clients
- Coordinate communication between caregivers, clients, and management
- Support general office administration including filing, data entry, and correspondence
- Ensure office supplies and documentation are organized and up to date
- Provide assistance during payroll or reporting as needed
- Utilize Google Suite for document creation, spreadsheets, and presentations as required.
- Proofread documents for accuracy and clarity before distribution or filing.
- Collaborate with team members to ensure all office functions run smoothly.
Requirements
- Prior experience in bookkeeping and administrative support (healthcare or home care setting is a plus)
- Proficiency with accounting software (e.g., QuickBooks) and Microsoft Office Suite
- Strong organizational and multitasking skills
- Excellent written and verbal communication
- Ability to work independently and maintain confidentiality
- High school diploma required; associate’s or bachelor’s degree in business or accounting field preferred
- Strong organizational skills with the ability to prioritize tasks effectively.
- Proficiency in data entry and familiarity with computerized systems for record keeping.
- Excellent phone etiquette and communication skills, both verbal and written.
- Experience using Google Suite applications (Docs, Sheets, Drive) is highly desirable.
- Ability to work independently as well as part of a team in a fast-paced environment.
