Job Summary
The Manager, UBC Hockey and Skating Programs is responsible for the leadership, oversight and coordination of all aspects of the UBC Hockey and Skating programs including program areas such as: UBC Junior Thunderbirds Spring Hockey, youth hockey programs, adult hockey programs, skating programs and community partnerships. The Program Manager is also responsible for the planning, programming, administering and refinement of the program areas and administering league tournaments. The Program Manager manages the end to end operational execution of the Hockey and Skating program and is also responsible for the strategic management and advancement of the program that serves thousands of participants.
The Program Manager will have a role in capitalizing on business development opportunities via community partnerships local to UBC and in the Lower Mainland and must be able to generate new ideas and be results oriented. This position interacts with all arena staff and with other department facility coordinators, programmers, coaches, community users, and on-campus groups as well as external agencies and partners. The shifts from this role will vary depending on work load and season, however the shift schedule for this position is primarily afternoon/evenings along with some weekend days.

Organizational Status
Athletics & Recreation (A&R) is a department within the VP Students portfolio, with a strong focus on creating an exceptional UBC student experience. The A&R Department has a team of approximately 150 employees, and is led by a strong cross-unit management team. It services over 60,000 students through recreational programming, 26 varsity teams, 13 competitive clubs, along with thousands of members of the UBC community.

Work Performed
Hockey & Skating Program

Recreation Programming
  • Responsible for the end-to-end leadership of the Hockey and Skating program, and the development and implementation of strategic plans and vision for each program area within the program.
  • Responsible for the development, promotion, and management of registered hockey, skating and figure skating programs and spring, summer and holiday camps.
  • Oversees the program pathway for all Skating and Hockey programs, ensuring programs are inclusive and maintain high quality.
  • Responsible for enhancing ice programing profile through attendance at events, orientations, festivals and information sessions.
  • Manages the program communications, inquiries and complaints for facility day to day operations and programming.
  • Prepares and updates lesson and programming content in PerfectMind, Digital channels and marketing materials prior to each registration session.
  • Ensure the accuracy and validity of our program content on the PerfectMind system and that it adheres to determined timelines and guidelines, oversees data entry, controls the audit process.
Thunderbird Adult Hockey League
  • Designs, promotes and manages the Thunderbird Adult Hockey League including seasonal play and tournaments.
  • Acts as the primary liaison with team’s leadership and players through regular correspondence.
  • Responsible for scheduling league games, working with scheduling partners and closely with the facility to ensure smooth operations and meet budgetary conditions.

Junior Thunderbirds Spring Hockey
  • Responsible for establishing direction of player development through the design, configuration and active management of Junior Thunderbirds Spring Hockey Development Program.
  • Responsible for the retention, recruitment, assessment and selection of qualified players (based on performance) and coaches for Junior Thunderbirds Spring Hockey.
  • Leads the connection and fostering of relationships with local Minor Hockey Associations for player development and marketing opportunities.
Community Partnerships
  • Initiates partnerships and develops opportunities for new users including HPSM groups.
  • Develops custom delivery models and tailor opportunities for students with exceptionalities.
  • Responsible for the development of new revenue opportunities through the creation of new community partnerships.
  • Engages with Senior Leadership and Varsity Programs to support outreach initiatives including Varsity camps, game-day events and inter-programming partnerships.
  • Responsible for the establishment of engagement events for students and UBC community including Seasonal Holiday Events, Paint the Ice Parties and Social Events.
  • Supports broader community hockey and skating initiatives such as Salish Storm, Girls Hockey and Hockey Association partners
Staff Management
  • Hire, train, and manage 50+ program staff including instructors, coaches and league officials.
  • Provides leadership and engagement with staff to promote development and product quality assurance.
  • Responsible for staff training and avenues to certifications for staff specific to their roles and responsibilities, in conjunction with the appropriate governing body (NCCP, BC Hockey Officiating)
  • Responsible for providing regular evaluations, performance management and coaching of staff to ensure curriculum and safety standards are being met.
  • Responsible for payroll management.
  • Prepares and delivers all staff onboarding, orientations and job specific training.
  • Leads and develops on ice safety initiatives and ensure timely incident reporting.
  • Ensures a positive staff culture that promotes equity, diversity and inclusivity through staff hiring, onboarding, and training.

Additional Responsibilities
  • Maintains relationships with internal and external facility management to secure facility spaces for rentals and programs.
  • Responsible for the procurement of program equipment, apparel and inventory to execute programs.
  • Cross coordination with A&R facilities and programmers to execute department wide initiatives, policies and procedures.
  • Oversee hockey and skating programs budget, reconciliation, financial planning, and revenue forecasting.
  • Creates competitive analysis, budget, payroll, forecast and overview of net revenue before, during and following each program.
  • Reviews and critically assess program performance across all areas.
  • Attends meetings, staff training retreats and completes other tasks as necessary.
  • Prepares and maintains a variety of records and reports related to the work.
  • Enforces all arena facility rules, policies and procedures.
  • Responsible for the management of tournament schedule through engagement with local tournament organizers to provide players and families with high level player development.
  • Manages the volunteer program for Team Managers, parent volunteers and referees.
  • Responsible for regular correspondence with player families to promote program, player development and retention.

Consequence of Error/Judgement
The Manager, Hockey and Skating Programs plays a critical role in the success and reputation of the UBC Hockey and Skating programs. Poor decision-making could impact participant safety, financial performance, and overall program quality, ultimately affecting UBC Athletics and Recreation’s reputation within the community. Errors in training of the staff and/or management of each program could result in injuries to participants potentially causing a situation that may be open to litigation. Failing to execute the logistics associated with each area of responsibility could lead to participant dissatisfaction, which then could result in reduced participation and reduced revenues. The Manager is expected to exercise judgement, diplomacy, and tact in all interactions. Standards of leadership, professionalism, and customer service are essential.

Supervision Received
The position reports directly to the Senior Manager, Arena Operations, takes direction from the Director of Intramurals and Recreation and operates with a high degree of autonomy in executing responsibilities. Due to the magnitude of the program, staff are empowered to execute their responsibilities and work independently.

Supervision Given
Hires, manages, evaluates and terminates part time staff - hockey and skating instructors, referees and scorekeepers.

Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of five years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications
  • NCCP Development 1 Coaching Certification
  • Two years of professional experience working in a recreation centre, arena complex, or as a recreation programmer or an equivalent combination of training and experience.
  • Having played and/or coached at the Zone U18 and Major Junior level or higher is an asset
  • Considerable knowledge of teaching methods and group leadership techniques emphasizing instruction in hockey, skating, and fitness.
  • Strong supervisory and staff management skills required.
  • Ability to develop, coordinate, implement and promote hockey and skating programs and activities which meet the needs and interests of the community.
  • Ability to exercise initiative, tact and diplomacy. Demonstrated self-starter and ability to be innovative, flexible and entrepreneurial.
  • Ability to deal effectively and courteously with staff, public, user groups and university officials.
  • Ability to work well as a member of a team and as a leader of a team, as well as excellent oral and written communication skills are required.
  • Experience managing program budgets, scheduling, and revenue forecasting.
  • Strong financial, organizational, and time management skills required.
  • Demonstrated conflict resolution skills.
  • Computer experience is required and previous experience with PerfectMind software is an asset.
  • Flexible schedule, including evening and weekend work as required.
