About the Role:
We are seeking a dedicated and experienced Legal Administrative Assistant to provide independent legal administrative support to the Vice President, Legal & Corporate Secretary, as well as lawyers and paralegals within the Corporate Secretarial Group and the broader Legal Services Department. This role is crucial in ensuring the efficient and effective day-to-day operations of the department by delivering high-quality work while maintaining strict confidentiality and professionalism.
Key Responsibilities:
- Independently provide efficient administrative support to the Vice President, Legal & Corporate Secretary, and the legal team. This includes managing schedules, screening and responding to emails, and handling routine and non-routine correspondence.
- Coordinate the compilation of VP weekly reports, maintain electronic and paper records, and ensure effective communication within the Corporate Secretarial Group and other departments.
- Schedule meetings, manage hospitality requirements, organize team meetings, and arrange travel and accommodations.
- Handle expense reporting, process mail, manage calendars, consolidate and code external counsel invoices, and manage counsel expenses and timekeeping.
- Provide onboarding support for new hires and perform other administrative tasks as requested by the legal team.
Qualifications:
- Completion of a Legal Assistant Certificate and/or Diploma.
- Minimum of 3 years’ experience as a legal administrative assistant.
- Strong organizational and time management skills, exceptional interpersonal and communication skills, and strong computer skills, including proficiency in Microsoft Office Suite. Knowledge of TeamConnect and SharePoint is an asset.
- Ability to handle a high workload, adapt quickly, prioritize effectively, and exercise sound judgment and discretion. Must be a team player with a positive attitude and respect for confidentiality.
Working Conditions:
- Ability to work independently in a fast-paced office environment with heavy workloads at times.
- High concentration levels required for reading, studying, and focused listening.
- Occasional overtime may be required.
