As the Labour Law and Privacy Assistant, you will work collaboratively to provide legal administrative support of a highly confidential and sensitive nature to a team of labour lawyers and an information and privacy lawyers. You will be responsible for a variety of legal clerical and administrative tasks requiring you to exercise independent judgment. Primary duties include:
- Compose correspondence.
- Prepare, type, review and arrange for filing and service of documents, including court forms and legal briefs.
- Manage highly confidential and sensitive labour relations, employment, human rights, Occupational Health and Safety (OHS) and information and privacy files, both paper and electronic.
- Coordinate electronic exchange of documents.
- Assist a team of labour lawyers in all areas of their practice, including supporting labour hearing work (labour arbitrations, Labour Relations Board hearings, Human Rights Tribunals, OHS proceedings, etc.).
- Assist a team of information and privacy lawyers in all areas of their practice, including supporting hearing work (e.g., matters before the Office of Information and Privacy Commissioner) and access to information requests.
- Liaise with client departments involved to coordinate gathering relevant documents, schedule witness preparation meetings, and determine or develop procedures to improve communications, reporting and turnaround times.
Qualifications
- A High School diploma or equivalency (e.g. GED or CAEC [Canadian Adult Education Certificate]) and at least 5 years of recent, practical legal experience; OR
- A Legal Secretarial diploma and at least 3 years of recent, practical legal experience.
- Equivalent combinations of experience and education may be considered.
- Excellent/advanced proficiency with Microsoft Word, Outlook, Excel and PowerPoint with the ability to format large word documents is required.
- Legal experience working in a labour and employment and/or information and privacy practice will be considered an asset.
- Previous experience working with ProLaw software system, Adobe Acrobat, Microsoft Teams, and SharePoint/One Drive will be considered an asset.
- Excellent communication and interpersonal skills with the ability to collaborate with various levels of interested parties, both internal and external to The City.
- Strong attention to detail and proofreading skills along with demonstrated organizational skills and the ability to adapt to constantly changing priorities in a limited timeframe.
