Job
Summary


Support various aspects of the work held under the People and Culture & Accounting umbrellas within OneSky with a primary focus on: HRIS processes such as recruitment and onboarding as well as payroll administration. Collect, verify, and process payroll information, and determine pay and benefit entitlements for employees within the organization.


Work collaboratively with organizational leaders to ensure the employment experience for new and existing team members aligns with organizational values and standards. The position leads with a person-centered approach while facilitating compliance with regulatory and acceptable payroll standards.


Responsibilities

Payroll

  • Under the supervision of the Accounting Lead, prepare, review and/or approve time entries in collaboration with Team / Site Leaders.
  • Prepare payroll changes related to step increases, job changes, promotions, and terminations.
  • Prepare and verify statements of earnings for employees, indicating gross and net salaries / wages and deductions such as taxes, union dues and group insurance and pension plan contributions.
  • Complete, verify, reconcile, and process forms, documentation and premium statements related to the administration of benefits such as health, disability, pension plans, unemployment, and medical insurance.
  • Provide information to employees on payroll matters, benefits plan, and collective agreement provisions.
  • Collaborate with HR Lead and Team Leaders to manage staff leaves (e.g. WSBC, short and long term).
  • Maintain and update payroll and HRIS systems.
  • Maintain records of employee attendance, leave, and overtime to calculate pay and benefit entitlements using manual or computerized systems.
  • Assist staff with schedule configuration and troubleshooting.
  • Compile statistical reports, statements and summaries related to pay and benefit accounts.
  • Assist staff with time off request / sick time management and system configuration.
  • Prepare and balance period-end reports and assist Accounting Lead with reconciling issued payrolls to bank accounts.

HRIS

  • Manage documentation of the recruitment and onboarding process through OneSky’s HRIS system.
  • Prepare draft offer letters, transfer letters, and promotion letters following the Company’s policies and practices.
  • In collaboration with Team Leaders, prepare job descriptions, interview questions, and assessment criteria for all positions.
  • Support Team Leaders in the documentation requirements for new staff as well as transitioning staff.
  • Provide support for Team Leaders in HRIS system management and use.
  • Assist with the implementation of Company initiatives, including coordinating OneSky’s new employee orientation process.

Qualifications & Knowledge, Skills, and Abilities

  • A diploma in business administration, accounting, Payroll Specialist or a related field.
  • A minimum of 2 years of experience processing payroll for up to 250 employees.
  • Knowledge of HR / payroll systems and databases: experience with BambooHR and Inclusion Payroll system
    is considered an asset.
  • Experience working within a collective agreement environment is desirable.
  • Computer proficiency with Microsoft Office suite of programs: experience with Microsoft Power BI and proficiency with Excel is considered an asset.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Awareness of and ability to comply with all statutory requirements.
  • Strong time management, planning, prioritizing, and risk management skills.
  • Demonstrated ability to work independently and in a self-directed manner in a fast-paced environment while maintaining high standards of accuracy.
  • Excellent written and verbal communication skills.
  • People-oriented and results-driven.
