About the Role
The Housing File Clerk will report directly to the Housing Director and provide essential clerical and administrative support to the Housing Department. This role involves managing office tasks related to housing infrastructure maintenance, records, and communication, ensuring efficient and effective operations within the department.
Duties & Responsibilities
Administrative Support:
Perform general clerical duties such as filing, photocopying, typing, and scanning documents related to public works projects and maintenance.
Assist in maintaining accurate records for work orders, service requests, and completed maintenance tasks.
Prepare and process work orders, invoices, and reports for public works services.
Data Entry and Record Keeping:
Update and maintain databases related to housing activities, including maintenance schedules, equipment inventories, and asset management.
Organize and track service requests, ensuring they are addressed in a timely manner and in accordance with department procedures.
Compile and update reports on the status of housing projects, including project timelines, resource allocation.
Communication:
Serve as the first point of contact for housing inquiries from community members, contractors, and other departments.
Communicate effectively with internal team members to ensure smooth coordination of housing activities.
Assist in the preparation and distribution of housing notices, updates, and reports to the community.
Coordinate with external vendors and contractors for services related to housing projects, ensuring timely completion and compliance with contracts.

- Education:
- High school diploma or equivalent required.
- A certificate or diploma in office administration considered an asset.
- Strong organizational and multitasking skills with the ability to handle multiple responsibilities simultaneously.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office equipment (scan, photocopier, etc.).
- Strong written and verbal communication skills, with an ability to draft and proofread documents and correspondence.
- Knowledge of housing functions, services, and maintenance is an asset.
- Ability to maintain confidentiality and manage sensitive information.
