The Foundational Learning Testing Administrator supports the secure and efficient administration of high-stakes exams, such as CAEC and IELTS for external test-takers. Reporting to the Foundational Learning manager, this position plays a critical role in organizing the administrative tasks of exam administration and exam logistics, maintaining compliance with institutional and external testing body requirements, and ensuring a positive testing experience for students. Working closely with internal teams and external testing agencies, this position is responsible for student exam registration oversight, preparation and safeguarding of exam materials, communication with test takers, and administrative reporting. The successful candidate will demonstrate strong attention to detail, organizational skills, discretion, and a high level of comfort working in a fast-paced setting where accuracy and compliance are critical.


Key Responsibilities:

Manage Student Exam Registrations

  • Oversee and process exam registrations using internal systems and official testing portals
  • Verify student eligibility and ensure all registration requirements and deadlines are met

Coordinate Exam Materials and Secure Storage

  • Prepare all exam materials including paper-based tests, seating charts, and ID verification lists
  • Securely store and manage materials using locked storage and secure digital platforms
  • Follow institutional and external testing body protocols for handling exam materials

Provide Pre-Exam Support to Test Takers

  • Respond to student inquiries via email, phone, or in person regarding testing procedures
  • Provide clear information on ID requirements, logistics, and expectations for test day

Liaise with Official Testing Partners

  • Submit documentation, reports, and attendance records to testing organizations
  • Communicate incidents or verification needs through approved and secure channels
  • Ensure ongoing compliance with partner guidelines and accreditation standards

Oversee Post-Exam Procedures and Quality Assurance

  • Collect, review, and submit completed exam materials for processing
  • Maintain accurate records and data logs related to testing activities
  • Participate in regular audits and continuous improvement efforts to ensure quality and compliance

Skills & Abilities:

  • Strong attention to detail and ability to follow strict protocols
  • Excellent organizational and time-management skills
  • Effective communication skills (written and verbal)
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Proficiency with computer systems, databases, and secure portals
  • Customer service mindset and a problem-solving approach to student and partner interactions

Qualifications:

  • Related post-secondary diploma

Applicants with education credentials earned outside of Canada should have their credentials evaluated by World Education Services or the International Qualifications Assessment Service (IQAS).


Remuneration: $55,138.46 - $72,519,72 annually, plus a comprehensive benefits package. (Classification – Advisor/Specialist l).


This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement.
