Looking for a new opportunity? We are looking for a Document Controller to join our team!
What You Will Do
- Report to the Team Lead, Document Control and support project documentation across engineering and construction initiatives.
- Use SharePoint to organize, manage, and maintain electronic documents, ensuring they are accurate, secure and accessible.
- Manage document workflows and version control for key project stages, including Issued for Bid (IFB) and Issued for Construction (IFC) documents.
- Collaborate with project teams and external partners to ensure smooth operations and compliance with TTC standards
- Track document progress, revisions and approvals using SharePoint and other document control systems
- Retrieve and distribute documents quickly and accurately to support project timelines.
- Perform quality checks to ensure documents meet formatting and version control standards.
- Assist in improving document control systems and processes, including SharePoint site structure and metadata tagging.
- Train staff on document control best practices and SharePoint usage.
- Monitor system performance and help troubleshoot issues related to document access or organization.
- Stay up to date with privacy laws and ensure sensitive information is handled appropriately.
- Occasionally step in for the team lead

What Qualifications Do You Bring
- Post-secondary education in engineering, information management, library sciences, or a related discipline; equivalent work experience will also be considered.
- Certifications in document or records management (e.g., Certified Document Controller, Certified Records Analyst) are beneficial but not required.
- Minimum of 6 years of experience in document control, preferably within project, engineering, or construction environments.
- Strong understanding of organizing, storing, and protecting documents, both digitally and on paper.
- Proficiency in document management systems, with SharePoint as a required platform
- Experience with Microsoft Word, Excel, PowerPoint and Adobe Acrobat is preferred.
- Ability to read and understand technical drawings and documents is considered an asset.
- Familiarity with privacy laws and secure handling of sensitive information is considered an asset.
- Excellent attention to detail and problem-solving skills.
- Strong communication and teamwork abilities to collaborate with various departments and external partners.
- Ability to learn new document control management suggest improvements to enhance document processes.
