Position Summary
Role Overview
We are seeking an Office Coordinator to be the first point of contact for patients and a key support for our clinical team. The ideal candidate is highly organized, personable, and experienced in administrative tasks within a healthcare setting. A strong background with Jane App or similar practice management systems is essential.
Key Responsibilities
- Greet patients, answer incoming calls, and respond to email inquiries in a professional and friendly manner.
- Act as primary patient liaison, ensuring clear communication between patients and practitioners.
- Manage scheduling and coordinate appointments through JaneApp.
- Handle patient intake, consent forms, and electronic charting support.
- Process payments, issue receipts, and manage patient billing and insurance claims (including direct billing where applicable).
- Follow up with patients for appointment reminders, recalls, and post-treatment communications.
- Maintain an organized front desk, waiting area, and administrative office.
- Support clinic operations including supplies ordering, practitioner scheduling, and basic reporting.
- Assist with marketing, patient outreach, and special clinic projects as needed.
Qualifications & Requirements
- Previous experience in a clinic, healthcare, or wellness setting strongly preferred.
- Proficiency with JaneApp (or similar practice management systems)
- Strong communication and interpersonal skills, with a warm and professional phone manner.
- Highly organized, detail-oriented, and able to multitask in a fast-paced environment.
- Familiarity with medical billing, insurance claims, and patient payment processing.
- Proficient with Microsoft Office / Google Workspace.
- Ability to work independently while supporting a multidisciplinary team.
