Job Overview
We are seeking a detail-oriented and organized Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting daily operations and ensuring efficient office management. This position requires strong skills in account analysis, budgeting, and familiarity with accounting software. The Administrative Assistant will be responsible for maintaining accurate financial records, assisting with payroll processes, and providing general administrative support.
Duties
- Perform account analysis and maintain accurate financial records.
- Assist in budgeting processes and monitor expenditures.
- Conduct account reconciliation to ensure accuracy of financial data.
- Manage accounts receivable and ensure timely processing of invoices.
- Support payroll functions, including data entry and verification of employee hours.
- Utilize accounting software such as Sage for various financial tasks.
- Provide clerical support including filing, data entry, and document preparation.
- Respond to inquiries from clients and staff regarding accounts and financial matters.
- Collaborate with other departments to streamline administrative processes.
- Enter data (receivables and payables)
- Process payments of payables
- Process customer invoices, deposits of receivables
- Prepare bank reconciliations
- Prepare month end financial statements

- cash flow
- Submit government remittances
- CRA payroll remittance
- GST/HST return
- WSIB (WCB) remittances
- Prepare for year-end review/audit
- reconciliations of accounts payable, receivables & payroll
- prepare working papers that are required for an annual audit
- work with auditor on year-end review and preparation of audited financial statements
Requirements
- Proven experience as an Administrative Assistant or in a similar role.
- Strong understanding of accounting principles and practices.
- Proficiency in accounting software ( Sage) is preferred.
- Experience with account analysis, budgeting, and payroll processing is highly desirable.
- Excellent organizational skills with attention to detail.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Strong communication skills, both written and verbal.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- A proactive attitude towards problem-solving and process improvement.
Job Type: Part-time
Pay: $20.00-$30.00 per hour
