Position Title: Administrative Assistant
Location: Laval
Reports To: Sr. Director of Strategy
Work Schedule: Full-time, 35–40 hours/week
Language Requirements: Bilingual (English/French) preferred in Quebec and Ontario 1
Position Overview
The Administrative Assistant provides essential support to management and operational teams by coordinating office activities, managing communications, and ensuring smooth day-to-day administrative functions. This role is critical to maintaining organizational efficiency and supporting frontline and back-office operations 2 3.
Key Responsibilities
- Office Coordination
Maintain office supplies and inventory.
Organize and maintain filing systems (digital and physical).
Coordinate courier services, mail distribution, and office equipment servicing
2. Communication & Scheduling
Answer and direct phone calls and emails.
Schedule and confirm meetings, appointments, and travel arrangements.
Prepare meeting agendas and take minutes.
3. Document Management
Draft, proofread, and format correspondence, reports, and presentations.
Assist with data entry, invoice processing, and internal reporting.
4. Customer & Visitor Support
Greet and assist visitors and clients.
Coordinate with customer service or sales teams to relay messages and updates.
5. Team Support
Support onboarding of new employees (e.g., desk setup, access requests).
Assist with internal communications and event planning.
Skills & Qualifications
Proficiency in Microsoft Office Suite and CRM systems.
Strong organizational and multitasking abilities.
Excellent written and verbal communication skills.
Discretion and professionalism in handling confidential information 2.
Compensation
Typical hourly rate: 26-28.85$/hr CAD
