Job Overview
We are seeking a dedicated and organized Receptionist/Administrative Assistant to join our team. In this role, you will be the first point of contact for our clients and visitors, providing exceptional customer service while managing a variety of administrative tasks to keep parents and staff up to date on our centre. The ideal candidate will possess strong communication skills, attention to detail, prioritize daily tasks and the ability to multitask effectively in a fast-paced environment. Having your level 1 is an asset to cover breaks as needed.
The ideal candidate must have proficient computer skills and demonstrate creativity within our facility.
Responsibilities
- Greet clients and visitors warmly, providing excellent customer support and ensuring a positive first impression.
- Manage multi-line phone systems, handling incoming calls with professionalism and courtesy.
- Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
- Assist with filing and organizing documents to ensure easy access and retrieval.
- Utilize Microsoft Office Suite and Google Workspace for various administrative tasks including typing reports, proofreading documents, and creating presentations.
- Calculating and tracking staff/child hours on daily basis.
- Provide clerical support to team members as needed, ensuring smooth office operations.
- Maintain office supplies inventory and place orders when necessary.
- Support bookkeeping tasks as required, including basic accounting functions using QuickBooks.
- Assist staff in decorating their rooms to create a warm and inviting environment.
- Collaborate with medical or dental office staff to facilitate patient scheduling and record management if applicable.
Experience
- Proven experience in an office environment is essential; prior administrative experience is highly desirable.
- Familiarity with multi-line phone systems and strong phone etiquette skills are required.
- Proficiency in Microsoft Office applications (Word, Excel, Outlook), Canva as well as Google Workspace is necessary.
- Experience with QuickBooks or similar accounting software is a plus.
- Strong organizational skills with the ability to manage multiple tasks simultaneously while maintaining attention to detail.
- Excellent typing skills with a focus on accuracy in data entry and document preparation.
- Previous experience in a medical or dental office setting is advantageous but not mandatory.
- A background in customer service is essential for handling client interactions effectively.
