As a key member of our high-performing Academic Operations team, the Academic Operations Specialist plays a strategic and collaborative role in shaping the future of academic delivery. This position is central to enabling data-informed decision-making and driving operational excellence across Schools.

Reporting to the Director, Academic Operations, and working closely with Associate Deans, this support position acts as a nexus between their assigned portfolio, AQOE’s Academic Operations department, and other centralized departments such as Finance, Space Planning, and Facilities, to help ensure Schools makes effective academic operations decisions around strategic enrolment planning, resource planning, staff planning, space planning, capital resourcing, tuition setting, and budget creation.


Key Responsibilities:

  • Analyzing and synthesizing information from a variety of disparate sources of information to generate sustainable and actionable recommendations
  • Advising and consulting on strategy development related to portfolio operations
  • Leading and preparing resourcing processes
  • Collaborating within the work unit to implement principles and strategies for consistency and accountability
  • Collaborating with academic program leaders on operational strategies and processes
  • Assisting with planning, and implementing strategic enrollment initiatives
  • Collaborating with FMD/Space Planning teams, to align capital resourcing
  • Contributing to the development and maintenance of academic operations' year-over-year, critical path
  • Coordinating with Program Chairs, staff, and administrative functions to create smooth operational workflows.
  • Monitoring progress and adjusting operational plans
  • Supporting the administrative and resourcing components of program development
  • Act as Academic Operations subject matter expert, supporting the development and launch of new academic programs, including market research, feasibility studies, and curriculum planning; and assisting in the preparation of program proposals and capital resourcing requirements to support documentation creation and approval processes.



Knowledge, Skills & Abilities:

  • Knowledge of methods, techniques and practices related to development of academic operational/business strategies and processes
  • Knowledge of related department policies and procedures
  • Knowledge of data analysis methods, techniques and practices; and related skills using tools and software (e.g., Excel, SPSS, Tableau).
  • Knowledge of operational and/or project management methods, techniques, and practices
  • Good understanding of general office administration procedures
  • Organizational skills
  • Ability to initiate, develop, and maintain professional relationships
  • Well-developed interpersonal, communication, and problem-solving skills

Qualifications:

  • Related post-secondary diploma (i.e. Business)
  • Minimum 3 years related experience
  • Equivalent combinations of education and experience may be considered

Remuneration: $71,098.04 - $95,372.94 annually, plus a comprehensive benefits package. (Classification – Advisor/Specialist II).


This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement.
