The purpose of an Academic Advisors is to assist and support students in navigating through the University experience towards graduation. Academic Advisors play a key role in the retention of students by teaching them how their degree programs work, by keeping them on track towards successful completion of required courses, by working with them to avoid problems, and to take advantage of unique learning opportunities, and by devising solutions when students encounter academic, course, program, and/or personal difficulties.

Academic Advisors possess a comprehensive body of knowledge about individual courses, the structure and requirements of majors and degree programs, University regulations, best practices in problem solving, academic and non-academic support services, and requirements for professional programs.

  • Providing accurate information to current and prospective students to aid in their program planning, which can include professional goals, course selection, and devising solutions to complex issues that interfere with academic progress and other matters.
  • Helping students to determine their academic standing with regards to Probation and Required Withdrawal, assist with course scheduling difficulties, provide grade appeal information, independent studies information, and the application of university policy and procedure.
  • Advising current and prospective students primarily on their academic programs, independent study approval, processing, and evaluation of previous degree transcript for students applying for a second degree, and advise which courses are required to complete the second degree.
  • Participating in New Student Orientation, Open House, and off-campus career fairs.
  • Advising current students on personal issues that interfere with academic progress and helping students devise strategies to manage personal issues and academic requirements, and when necessary, referring students for personal counselling, academic supports, career counseling, other Faculties, and to relevant community and government resources.
  • Present and bring forward student appeals to the Dhillon School of Business appeal committee, participate in the appeal discussion and decision process, and communicate the outcome of the appeal to the students.
  • Completing final graduation approval and review of student files to ensure that all degree/program requirements have been met.

This position will also have responsibilities related to student engagement and events. The incumbent will take the lead in the development, coordination, and execution of student social events on the Calgary Campus. This includes booking space, ordering catering, coordinating staff and volunteers, advertising, booking external vendors, preparing event forms, and event supervision.

This position works closely with the Calgary Campus Manager on a variety of projects and initiatives that enhance student experience for all Calgary Campus students.

The current responsibility split of this position is 75% student advising and 25% student engagement and service supports, but these percentages may vary from 80/20 to 50/50 split based on operational needs.

Please note a strong internal candidate will be applying for this position.

Position Qualifications
The successful candidate will have an undergraduate degree and a minimum of 3 years of related work experience in a post-secondary or educational environment. A combination of education and experience will be considered.

The following special qualifications are also required:
  • Excellent communication skills (written and verbal): Advisors need to explain complex degree programs, requirements, regulations, restrictions, and opportunities to students. Also, Advisors make presentations to groups of current students, and to prospective students and their parents. • Ability to deal with complex information: The demand for services provided by the Advising unit is extensive, continuous, and complex.
  • Excellent interpersonal communication skills: Advisors are required to deal with a diverse student body (different cultures, abilities, and personalities) and to diffuse potentially volatile situations (e.g., informing a student that she or he does not meet the requirements to graduate).
  • Accuracy and attention to detail: Advisors need to be accurate and able to attend to details as errors in advising students and in checking students’ programs can delay their graduation. We need to maintain accurate, confidential records so that any Advisor can assist any student. Advisors also help maintain the integrity of students’ transcripts by ensuring aspects such as transfer credit, repeated courses, and test indicating academic standing are all correct.
  • Problem solving skills: Advisors need to be creative to be able to devise solutions for complex program problems, and for individual students’ specific circumstances.
