4 Wing MFRCS is currently accepting applications for a full-time permanent Volunteer Services Coordinator.
Reporting to the Executive Director, this position oversees the area of volunteer services for the MFRCS. The Volunteer Services Coordinator works closely with staff and community partners to develop, coordinate, and implement volunteer services for military families. The role is also responsible for maintaining all volunteer program standards and systems in accordance with federal, provincial, and agency policies and guidelines.
In addition, this position leads the planning and implementation of several annual Morale Booster events that help foster community spirit and support the well-being of military families.
Job Responsibilities:
- Manage the standard operating procedures for the recruitment, assessment, training, supervision, evaluation, and recognition of volunteers in support of MFRCS programs and services.
- Draft policies, standards, and procedures for the Volunteer Program, incorporating all federal, provincial, and agency policies and guidelines.
- On an ongoing basis, evaluate policy standards and procedures, and draft proposals for change while keeping informed of changes in legislation affecting the volunteer sector.
- Prepare and submit recommendations for volunteer program budgets.
- Administer volunteer program funds based on approved budgets.
- Provide “Volunteer Program” briefings for community agencies and military units.
- Review and update volunteer forms and position descriptions yearly.
- Develop and implement a yearly recruitment campaign including an outline and budget, and undertake public relations work to recruit new volunteers.
- Interview and assess all volunteer applicants.
- Provide an organizational and volunteer program orientation for applicants both on an individual basis and in group sessions.
- Complete a screening process including an interview, volunteer inventory/application, security and criminal record check, and references.
- Once screening process is complete, ensure code of ethics, agency/volunteer agreement and terms of reference are completed.
- Provide initial training and orientation of volunteers and develop a future training plan with the volunteer.
- Work with colleagues to determine volunteer needs before, during, and after events and programs.
- Communicate with volunteers about needs and opportunities.
- Maintain a system so that support, guidance, and training can be provided to volunteers on a regular basis and issues or concerns can be dealt with in a professional manner.
- Maintain a system to track the statistical information required by the Board of Directors/organization.
- Encourage volunteers to be members of committees.
- Develop and implement a yearly recognition plan including an outline and budget.
- Assist staff in developing orientation and training packages for work in specific fields.
- Develop and provide staff training sessions in all areas of volunteer management.
- Complete a yearly evaluation of the Volunteer Program and draft changes to policy, standards, and/or operational procedures if warranted.
- Assist in the advertising and promotion of MFRCS and increase community awareness of the important role played by volunteers in meeting the organization's mandate.
- Take an active role in community networking and develop linkages and partnerships for the benefit of the volunteer program, i.e., recognition events, referral to volunteer organizations.
- Maintain and prepare statistics, standards of practice, procedures, and reports.
- Meet virtually with other Volunteer Coordinators across Canada.
- Apply MFRCS policies, procedures, regulations, and applicable legislation.
- Comply with the requirements of the 4 Wing health and safety programs.
- Utilize programming software (Better Impact, Perfect Mind, Penelope).
- Plan, coordinate, and execute several annual Morale Boosters events in collaboration with staff and volunteers, including budgeting, logistics, volunteer assignments, and post-event evaluations.
- Perform other related duties as assigned by the supervisor.
Qualifications:
- Bachelor’s degree in Human Services, Volunteer Management or a related field AND some years’ experience in Youth/Family programs or a related field
OR
- College diploma or certificate in Community Development, Human Services or a related field AND several years’ experience in Volunteer Management programs or a related field
OR
- High school diploma AND several years experience in a related field
- Current CPR and Basic First Aid is an asset.
Salary Range: $24-$27/hour
