General Description


Responsible for providing admin support for an academic program, plans and coord a variety of activities, coordinating rotation schedules for medical students and a variety of educational events and other learning and research initiatives. Creates positive partnerships with preceptors, teaching units, clinics, sites, campuses, and other support staff.


Representative Duties & Responsibilities


  • Develops, plans and coordinates rotation schedules for medical students at multiple sites.
  • Deliver orientation biweekly to new cohorts.
  • Acts as liaison between faculty, staff, and students to ensure the timely communication of information.
  • Greet visitors, answer, or redirect general inquiries in person, by telephone and via email and respond independently to inquiries that are specific in nature and require a thorough knowledge of established policies and procedures.
  • Plans and coordinates education events, tutorials, academic half days and other learning initiatives, includes planning speakers, preceptors etc.
  • Create financial projections and adjust the program budget throughout the fiscal year.
  • Coordinate and organize reoccurring meetings for the Program Director.
  • Collect program feedback through surveys and compile feedback data to recommend changes to Program Director based on program needs and the feedback.
  • Review and flag negative evaluations for Program Director review.
  • Update and maintain program information in various databases.
  • Compile course information and update course calendar information.
  • Monitor students during examinations and ensure adherence to examination regulations.
  • Compile and monitor course data; submit student marks and ensure program compliance to allow students to enter the rotation allowance
  • Update and maintain program specific content on UGME webpage.
  • Writes a variety of documents including, but not limited to, correspondence and minutes.
  • Attends and participates in UGME and department meetings, apply learning to department programming level.
  • Apply standard mathematical skills such as calculations and formulas.
  • Collect, verify, and input data into a variety of spreadsheets and databases
  • Maintain confidential files and records. Handle sensitive material in accordance with established policies.
  • Sets up, uses, and troubleshoots teleconferencing and videoconferencing equipment.
  • Assemble, copy, collate and disseminate a variety of documents and materials.
  • Set up and maintain filing system, both electronic and hard copy

  • Has no responsibility for others.

Qualifications

  • A 2 year post-secondary program at a community college (or formal apprenticeship). in a related field.
  • Requires a minimum of 3 years of relevant experience
