Position Overview:
Reporting to the Manager, Scheduling and Workforce Management, the Supervisor, Scheduling and Workforce Management is responsible for the day-to-day oversight and coordination of staffing, scheduling, and timekeeping operations. This role ensures the effective use and administration of workforce management systems, including UKG Workforce Dimensions and Vocantas, to support organizational staffing needs, and schedule and timekeeping accuracy. The Supervisor serves as a primary point of contact for front-line managers, staff, and Human Resources, offering support in navigating and interpreting information within the scheduling systems. The Supervisor also contributes to strategic workforce planning by analyzing trends and providing actionable insights to leadership
Responsibilities:

This role ensures the effective use and administration of workforce management systems, including UKG Workforce Dimensions and Vocantas, to support organizational staffing needs, and schedule and timekeeping accuracy. Responsibilities:
- Supervise day-to-day operations of Scheduling and Workforce functions – provide 1st line of support for staff.
- Supports recruitment, retention, scheduling, coaching/development, and performance management of frontline staff
- Using Lean tools, facilitates efficiencies through process review activities in the Scheduling and Workforce Optimization Office.
- Utilize data from staffing dashboard, UKG, and Vocantas to update staffing requirements.
- Support budget management through appropriate scheduling and resource allocation.
- Works with key stakeholders to analyse the request, call logs, and schedule updates to determine trends and additional training or communication required.
- Supports optimization of staff scheduling and timekeeping functions in alignment with corporate strategic initiatives
- Ensures that staff function at optimal levels of performance.
- Monitor office performance related to request volumes, award times, and scheduling accuracy.
- Conducts performance improvement (Lean) activities to increase efficiency in the Scheduling and Workforce Optimization Office and to ensure full utilization of resources and processes.
- Ensure optimal service and data quality management for efficient day-to-day operations supported by appropriate documentation of standards and expectations.
- Develop and maintain department standards, and associated standard work/SOPs and processes.
- Maintain and Improve Data Quality through SOPs, staff training, audits, and reporting.
- Assure that client requests are responded in timely and professional manner and resulting actions meet client expectations
- Acts as liaison with external third-party staffing agencies that are procured to supplement SHN own staff.
- Troubleshoots client service complaints and concerns in line with standard work
Requirements:
- 2 or 3-year diploma from a recognized community college or an undergraduate degree from a recognized institution (preferred)
- Minimum 3 years of experience staffing, scheduling, and timekeeping
- Minimum 3 years experience leading a team in a health care setting.
- Minimum 1 year of project planning, management and implementation experience
- Proficient in the use of computer applications and scheduling with technical troubleshooting skills
- Superior problem solving and analytical skills
- Ability to coach, mentor and motivate staff, and promote a productive team environment.
- Understanding of the complexities related to scheduling staff in a unionized environment
- Knowledge of the healthcare domain, trends and standards
- Excellent interpersonal and communications skills both written and verbal with ability to interact with all levels of staff
- Exceptional organizational skills and ability to manage multiple assignments simultaneously
- Excellent time management skills
- Demonstrated pattern of good attendance and performance record
- Demonstrates an understanding of and commitment to SHN's comprehensive safety programs and practices including staff, patient and environmental safety and participates in regular in-service education in this area.
- Demonstrates a commitment to customer service when dealing with patients, colleagues, volunteers and other members of the community and public.
- Exposure to Lean principles, an understanding of methodologies and tools and a commitment to the use of these in support of providing the best healthcare experience possible to our patients.
