This opportunity:
As our Service Coordinator, you will provide administrative support for all front-end operations. Supporting our client intake, scheduling management, medical documentation management and consistently virtual and rarely in person reception and operations support, you will specifically schedule and organize virtual appointments between referral sources and examinees, and as well coordinate our experts’ trial attendance between healthcare professionals and clients.
The candidate who will be successful in this role will have strong organizational skills, high attention to detail, effective communication, and the ability to adapt to changing priorities.
This position will follow a hybrid schedule, with 3 days in the office and 2 days working from home each week. The working hours will be flexible, ranging between 6:30 AM and 6:30 PM, Monday to Friday.
Mission:
To provide administrative support for all front end (intake, medical documents, clinic) operations activities leading to growth and success of Integra.
Responsibilities:
Assessment & Trial Scheduling as required (80%)
- Schedule assessment appointments and trials with lawyers, paralegals, legal administrative assistants, case managers, claims adjusters, and other clients.
- Solicit and coordinate assessor availability for assessments and trials.
- Organize telephone calls between lawyers and medical professionals.
- Organize and distribute virtual, onsite and trial schedules to assessors each week.
- Support the Service Team Lead and others in managing customer complaints, issues and escalate issues to the Team Lead for handling.
Virtual & In Person Reception, Chaperoning, Medical Professional Assistance (10%)
- Organize and distribute virtual links to clients, medical professionals and examinees
- Provide virtual reception to clients, medical professionals and examinees
- Complete consent process with examinees.
- Notify staff and assessors of late or no-show examinees.
- Schedule virtual test meetings and/or assist examinees with technical issues.
- Answer and direct inquiries as required.
- Complete chaperoning duties as assigned or required.
Document Coordination as required (10%)
- Communicate with clients regarding consents, intake forms and other matters.
- Ensure preparation and completeness of files for all examinations.
- Identify and correct misinformation in the electronic chart by reviewing the letter of instruction for names, dates, and other pertinent information.
- Flag potential date and other conflicts to the intake and/or reports team for handling with the client.
- Remove duplication in records and ensure an up-to-date chart is on file.

Requirements for this role:
- Experience in a fast-paced administrative position
- Experience working with Office 365
