Overview
We are seeking a dedicated and organized Secretary to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing exceptional administrative support. This position requires strong communication skills, attention to detail, and the ability to manage multiple tasks efficiently. The Secretary will be responsible for maintaining a welcoming environment for clients and staff alike.
Duties
- Greet and assist visitors in a professional and friendly manner, ensuring excellent customer service.
- Manage incoming calls with proper phone etiquette, directing calls to appropriate personnel.
- Schedule appointments and maintain calendars for staff members.
- Prepare and organize documents, reports, and correspondence as needed.
- Assist with bookkeeping tasks using Sage Business Vision, including invoicing and expense tracking.
- Collaborate with team members to enhance office efficiency and workflow.
Experience
- Previous experience in an office environment is preferred
- Familiarity with customer service principles is essential to ensure client satisfaction.
- Proficiency in Google Suite applications (Docs, Sheets, Calendar) is required.
- Experience with Sage Business Vision or similar accounting software is a plus.
- Strong typing skills and attention to detail are necessary for accurate documentation.
- Excellent communication skills, both verbal and written, are essential for effective interaction with clients and colleagues.
