The Manitoba Corrections Division helps protect society by enforcing orders and sentences given by the courts. We manage offenders with appropriate control, supervision and support. We provide programs and services that help offenders learn to become productive members of society. Milner Ridge Correctional Centre (MRCC) is located in the Agassiz Provincial Forest about 20 kilometres southwest of Lac du Bonnet, Manitoba and approximately 1 hour from Winnipeg. It is a minimum, medium and maximum security facility with a rated capacity of 524 adult males. We are currently seeking qualified candidates for the position of Scheduling Clerk (CL3) for MRCC. The position offers reliable and full time employment with a defined pension plan. Qualifications:
Essential:
- Experience coordinating staff scheduling activities to ensure staff availability for planned absences.
- Demonstrated experience entering high volumes of data into several databases with accuracy.
- Experience performing clerical and administrative duties in an office environment such as data entry, preparing specialized or highly complex documents and processing detailed documentation and manual and electronic file maintenance.
- Ability to work with a high level of accuracy, thoroughness and attention to detail.
- Experience with highly sensitive and confidential information.
- Effective analytical and problem-solving skills.
- Effective written communication skills with experience drafting and editing correspondence or other communications.
- Effective verbal communication skills to clearly and professionally communicate with internal and external stakeholders.
- Excellent time management and organizational skills including the ability to prioritize competing workload demands to meet deadlines.
- Proficiency working with MS Office (Outlook, Word, Excel), and other computerized database applications.
Duties:
The Scheduling Clerk coordinates staff scheduling activities to ensure replacement staff availability for planned absences, schedules leave and initiates replacement staffing activities for all scheduled absences such as vacation, etc. The incumbent also responds to short notice requests for staff absences, this requires explanation for refusal to authorize individual requests. On a daily basis maintains records of scheduled hours for part-time staff to ensure that total hours do not result in overtime costs. Ensures that shifts for replacement staff result in appropriate rest periods. Records all refused and unavailable status calls to part time staff. The Scheduling Clerk (CL3) also liaises with section heads and staff trainer regarding future plans to determine feasibility of proposed training schedules and acts as a relief for other admin/clerical staff in their absence.
