Position Summary
Reporting to the Registrar, the incumbent assists the Scheduling Officer with the production of academic timetables each term. This involves working with the Academic Schools to gather, analyze, validate, and monitor scheduling information; inputting and managing data in the scheduling system and student information system; identifying and resolving scheduling conflicts; and responding to scheduling change requests. The incumbent also supports room inventory management.
Duties and Responsibilities
- Reviews, verifies, and enters scheduling data received at the beginning and during each scheduling cycle. Consults with the Associate Dean, Dean, or Academic Office Coordinator when necessary.
- Reviews program sections, course restrictions, faculty restrictions, program restrictions, room/lab requirements and any other information provided in order to meet the scheduling needs of particular programs in the on-going development of academic schedules each term.
- Assists with the distribution of academic schedules.
- Runs and distributes scheduling reports, as needed.
- Identifies and acts upon problems, anomalies, and discrepancies throughout the scheduling process, and provides resolutions that would positively affect user groups and students.
- Processes change requests as approved and changes resulting from double-booking, scheduling conflicts, space limitation, and classroom technical requirements.
- Independently acts on requests for timetable changes according to the scheduling principles and practices of the College.
- Supports the maintenance of room inventory in the scheduling system and the student information system. Visits and documents learning spaces at all campuses, as needed.
- Liaises with Marcom regarding room inventory updates and availability of learning spaces for events and other non-academic bookings.
- Assists with College events, including but not limited to convocation and open house.
- Other duties as assigned
Qualifications
- Completion of a two year post secondary diploma in a related field
- Minimum two years of experience in an academic environment or office environment
- Experience with information management and record management in a system or database.
- Excellent planning, organizational, and time-management skills.
- Strong attention to detail.
- Strong problem-solving skills.
- Excellent interpersonal and communication skills.
- Ability to work independently and as part of a team.
- Initiative and ability to prioritize and work under pressure within specified timelines.
- Proficiency with Microsoft Office Suite, including Excel.
- Demonstrated commitment to truth and reconciliation, valuing diversity, and contributing to an inclusive and accessible working and learning environment.
