Research Coordinator II, GEMINI
GEMINI (www.geminimedicine.ca) is a unique big data platform in the Canadian healthcare landscape using advanced methods and analytics to extract and standardize data captured in hospital electronic health records. GEMINI currently exists at 30+ Ontario hospitals and supports the Ontario General Medicine Quality Improvement Network, GeMQIN, a provincial network led by Ontario Health to improve care for general medicine hospital patients. General medicine patients represent 40% of emergency admissions to hospital and are the largest group of hospitalized patients. GEMINI is a collaborative data and analytics platform for all Ontario hospitals to accelerate research and quality improvement, leading to excellent hospital care.
The GEMINI team is seeking two Research Coordinators II to lead a number of multi-institutional research studies, including the development research protocols, coordinating REB submissions, execution of research studies (e.g. patient recruitment, data collection), and tracking/reporting of study milestones and deliverables. The successful candidate will be coordinating a large multi-centre project aimed at optimizing clinical teams to prevent delirium and implementing machine learning tools to target prevention efforts to patients who need them the most. The second successful candidate will be coordinating GEMINI’s large portfolio of research projects and external partnerships. You will be an integral part of a fun and mission-driven team while working closely with researchers/investigators and clinicians from various expertise and backgrounds.
Duties and Responsibilities
Research Duties (50% of work time)
Ongoing coordination of research study activities: day-to-day project management of timelines, resources, deliverables, and study tasks
Develop and amend research protocols and related study documents, as required
Prepare, coordinate, and track REB submissions for multiple participating sites
Assist investigators in the development and implementation of study protocols and standard operating procedures (SOPs)
Synthesize, interpret, and present research-related information in reports and presentations
Support and coordinate research proposals, grant applications and grant letters of support
Prepares and leads presentations of research related information
Develops processes, tools (e.g. workflows, Gantt charts), and resources to support team members and projects
Prepare invoices and reimbursements to external institutions
Identifies, streamlines, and implements project efficiencies
Administrative Duties (35% of work time)
Working with internal and external parties, facilitate the development and execution of study agreements (clinical study, data transfer, subgrants) and other regulatory requirements
Liaises with external vendors for service provider agreements and procurement
Creates training materials and manuals as needed
Creates the communication plan for internal and external project partners
Assist in the preparation of reports for grant funding bodies
Coordinate and facilitate meetings with internal teams, external partners and large committees
Plan research-related events and knowledge translation events (including workshops, food vendor organization, and event advertising and marketing)
Support research project proposals that use GEMINI data and facilitate approval process
Update SOPs as part of the Research Operations team
Day to Day Project and Staff Guidance (15% of work time)
Develop and maintain research study budgets and fund transfer schedules, reconcile project expenditures and coordinate financial transaction
Assists with hiring and onboarding new staff and supports team members through capacity building and coaching
Effectively liaise with investigators and researchers from various research partners, such as, hospitals, research institutes, and universities throughout research studies
Coordinates, trains, mentors and delegates tasks to Research Coordinator I, Research Assistants and students
Qualifications, Knowledge and Skills:
Undergraduate degree public health, epidemiology, health research methods, or related discipline and three years of relevant research/program coordination experience in a public sector or academic setting OR demonstrable equivalent combination of specialized education and experience
Demonstrated project planning and coordination skills, particularly for cross-institution research projects with an interdisciplinary team
Proven ability to set and meet priorities and deadlines, and to handle multiple assignments in a time-sensitive environment
Demonstrated ability to communicate effectively to different audiences through different modes of communication, including and not limited to written, verbal, and presentation skills
Excellent attention to detail, resourceful, ability to adapt and learn new skills
Working knowledge of Microsoft Office, Google Suite and Smartsheet applications
Experience with a reference manager (e.g. Zotero, Mendeley, etc.)
Ability to work discretely with and protect confidential information
Basic knowledge in data science would be a strong asset
Experience in developing content for website or social media platforms an asset
Demonstrated flexibility and have the ability to adapt and manage changing priorities
