About the Role:

The Regional Planning Team (RPT) 2 - Project Administrator provides leadership and oversight for RPT2, working closely with the RPT2 Chairs to manage the team’s activities and ensure alignment with organizational and administrative goals. The Project Administrator is responsible for leading strategic planning efforts, driving project implementation, ensuring alignment with administrative goals, and facilitating coordination among all stakeholders. In conjunction with the RPT2 Co-Chairs, the Project Administrator leads efforts to foster collaboration among school board and college partners within RPT2 and contributes to the management and organization of the work related to Dual Credit, Ontario Youth Apprenticeship Program (OYAP), forums, and activities. The Project Administrator plays a critical role in aligning RPT2’s work with the priorities of the Ministry of Education’s School College Work Initiative (SCWI) and the Financial Services Institution (FSI), supporting regional development and actively advancing initiatives in accordance with broader provincial strategies

The Project Administrator is a neutral position. This role does not represent the interests of the college nor the school boards but rather works to bring all stakeholders together cohesively and equitably

Core Duties and Responsibilities:

1) General Organization, Administrative and Management of RPT 2 (Ongoing)

  • The Coordinator will be responsible for participating in multiple meetings every month which support the communication and structure of RPT2, specifically:
  • Leads coordination efforts between the School College Work Initiative (SCWI), Regional Planning Team 2 (RPT2), and the Ontario Youth Apprenticeship Program (OYAP) by managing relationships with school boards, colleges, and key stakeholders.
  • Manages communication flow, ensuring timely and strategic dissemination of information, action items, and decisions.
  • Represents RPT2 at college and SCWI meetings, providing leadership in surfacing regional issues, facilitating solutions, and aligning local activities with broader provincial goals.
  • Leads the distribution of SCWI updates and ensures RPT2 members remain informed, engaged, and aligned with SCWI priorities.
  • Facilitates (or co-facilitates) high-level planning meetings between RPT2 stakeholders
  • Leads the transition requirements and onboarding processes for new RPT2 members
  • Implements and monitors a structured approval process, issuing timely reminders and accountability checkpoints to ensure partner compliance with SCWI deadlines.

In addition the Administrator:

  • Coordinates the full scope of SCWI’s Request for Proposals process, ensuring efficient submission, data entry, and reporting practices that meet Ministry expectations and reflect strong administrative oversight.
  • Provides regular leadership updates on SMART Goal implementation and outcomes at monthly RPT2 meetings, fostering accountability, collaboration, and a continuous improvement mindset across the region.
  • In collaboration with RPT2 Chairs leads the strategic planning process by guiding RPT2 members in the development of annual SMART Goals, ensuring alignment with SCWI priorities and regional objectives.
  • Manages the communication and dissemination of SCWI reports related to SMART Goals, ensuring RPT2 members are equipped with relevant insights to support evidence-based decision-making.

2) Cycle Change Requests (Ongoing/As per Cycle Change Due Dates)

  • Leads the end-to-end management of Cycle Change requests in collaboration with school board and college partners, ensuring alignment with SCWI objectives
  • Supports and organizes, when necessary, meetings between colleges and boards to ensure equitable programming and required Cycle Changes ( i.e. distribution of seats, funding, and opportunities)
  • Ensures the input of approvals into spreadsheets for Cycle Changes and reconciles spreadsheets with EDCS
  • Presents information to RPT2 members on Cycle Changes (i.e. identify gaps, areas of improvement, options, and data driven solutions)
  • Provides strategic leadership in presenting Cycle Change information to RPT2 members, supporting data-informed planning and transparent decision-making.

3) Data Coordination and Verification

  • Maintains and manages accurate records, aligning data requirements within the EDCS system.
  • Leads data gathering and analysis to support SMART Goals created by RPT2, and helps to ensure that implementation and action plans are on track, providing progress updates at each monthly RPT2 meeting
  • Ensures data entry is in compliance with deadlines and all entries in EDCS align with the requirements of the EDCS system.
  • Follows up with school boards and colleges to complete all of the required forms on a semester basis (i.e. After-SWAC report forms, Adult Dual Credit report forms and OYAP Support Transition form).
  • Other duties as assigned

Education

  • 3-5 years of experience in a relevant field (i.e. Education, Administration, Business, Project Management)

Experience/Skills

  • Familiarity with District School Board and College structures
  • Knowledge of Ministry of Education policies, priorities, and funding requirements
  • Strong Knowledge of computer software programs including Microsoft Word, Excel, Teams and OneDrive
  • Excellent interpersonal, communication, and presentation skills
  • Problem-solving and decision-making abilities
  • Ability to find efficiencies and effectively implement solution-based strategies
  • Strong time management and organizational skills required to oversee multiple projects and provide ongoing support to stakeholders
  • In-person meetings are required
  • Must have access to a reliable vehicle, travel within the GTA is required
  • Comfortable with technology that is required to host hybrid meetings, including screen and sound sharing

Preference will be given to Candidates with Demonstrated Experience in:

  • Project management
  • Overseeing portfolios directly tied to financial budgets
  • Working knowledge of the EDCS system
  • Proficient use of Excel to support data analysis and track multiple projects with competing deadlines
