We are looking for a sharp, organized, and proactive Senior Executive to Junior Managerial role to join our dynamic real estate team. The role is a slash / or a blend between an administrative and executive assistant, marketing support and operations or production coordinator.
Key Responsibilities
40% — Administrative Support, Transaction Management and Client Relations
- Draft paperwork and proper filings (contracts, addendums, etc.)
- Task coordination with brokerages, lawyers, developers, agents, partners
- Monitor client message threads, identify missed items and remind
- *Presale*: Update long term buyers on payments, developer updates and communications, respond to inquiries, help on closing.
- *Property Management*: Coordinate repairs, renewals, and statements
- *Resale*: Search properties, Arrange and prepare buyer tours
40% — *Listing* Marketing: Productions and Operations Supports
- Pre-Listing: Become the Mini-Project Manager
Pro-actively identify, draft, update timelines for action items, including property tidy-up, repairs, renovations, touchups, cleaning, staging, photos, video, Lots of scheduling, coordination, communication and reporting on
- Upload listings and create flyers/web content by choosing eye-catchings and write effective selling points
- Active and timely communciations with vendors, clients, and the team regarding schedules, timelines, deliverables, and feedback
20% — Market Research & Sales Analysis
- Track local listings, sales, and competition
- Create internal market updates for clients
- Research new real estate projects and market trends
Your personality or your skillsets or your experience:
- must be a faster typer, fast learner and very familiar with APPLE computer system and some of the software, including Apple Mail, Icloud, Apple Notes, Adobe Acrobat PDFs, Google Drive, MSWord, Excel, Canva, Safari, Chatgpt, etc. Experience in some real estate tools like MLS paragon, webforms, Docusign would be a bonus.
- must be responsive, enjoy team work and communications, be comfortable working as a part of a supporting and coordinating team.
You report to Carrie but expect lots of communications with 10-20 staff, agents, vendors across our team and 30-50 client groups. Many message passing in a smart and timely responsive manner is expected. Part of the job is to identify overlooked items and make sure the right person attends to it.
- must be self-motivated and pro-active as this is NOT a junior role which Carrie or the team can give you every instruction on each task. We expect a fast learner that can pick things up quickly, think logically, be self-aware of what is going on and what needs to be done at when.
- must be detailed oriented, accurate and reliable.
There’s a lot of contract, legal and client facing paperwork so we are not tolerating clerical mistakes such as spelling, numbering, as this could lead to serious consequences. You are expected to be the final checker of most of the paperwork so please do not apply for this role if you realize you do have these kind of mistakes. We’ll test you!
- must have strong multi-tasking and prioritizing skills, well-organised since different tasks my come up simultaneously. You may need to adjust your priorities frequently so that more urgent tasks can be attended earlier; at the same time not forgetting what and where you have left off.
- mush speak fluent Cantonese and English. Must be able to read and type Chinese. Mandarin is a bonus.
- Must be able to come into our Metrotown Office (Crystall mall) frequently. Work from home is negotiable but not guaranteed.
VALID Class 5 Driver License is a bonus.
Job Types: Full-time, Part-time
Pay: $24.00-$28.00 per hour
Expected hours: 40 – 55 per week
