Purchasing and Supply Chain Coordinator– Whitby, ON

What will you do?
The Purchasing and Supply Chain Coordinator is responsible for providing support and direction for day-to-day Supply Chain and Logistics operations to ensure 100% compliance for all products imported and exported into/out of Canada. This position is based out of Makita Canada’s Head Office in Whitby, ON and reports to the Purchasing and Inventory Manager.
What will you work on?
§ Enter, transmit, track, and verify all purchase orders. Keep all purchase orders up to date in the system through every step of the process.
§ Expedite open orders as needed and follow-up with vendors to guarantee delivery times are met.
§ Communicate changes and any issues that could negatively impact fulfillment of customer orders.
§ Maintain appropriate filing of purchase orders in accordance with the required retention period.
§ Onboard new vendors.
§ Handle vendor disputes, defective goods, and service-related issues.
§ Measure vendor performance and communicate information internally as necessary.
§ Maintain master pricing/quotation files for all vendors.
§ Liaise with Accounts Payable to ensure accurate and timely payment of vendor invoices.
§ Prepare order summary reports by vendor for review by Management Team.
§ Participate in the annual purchase budget submission.
§ Research and order non-inventory goods and services as requested (office, warehouse, and janitorial supplies).
§ Support Inventory and Warehouse Teams during annual physical inventory taking.
§ Have clear knowledge of vendors shipping terms and be able to communicate when requested.
§ Review and approve shipment booking requests from vendors.
§ Receive and audit all vendor import documents for completeness and accuracy (packing list, invoice, waybill, etc)
§ Set up files and transmit all documents to customs broker for customs clearance.
§ Log and track all ocean shipments and communicate arrival to the warehouses.
§ Book deliveries into the warehouses.
§ Participate in carrier selection process – quotation.
§ Perform other job-related duties/projects as assigned.
To be successful you will have:
§ Diploma in Business Administration/Supply Chain Management or related field preferred.
§ A minimum of two (2) years of related experience.
§ Fluent in English, excellent communication (oral and written) and professional demeanor.
§ Superior computer: MS-Office, AS400, data entry.
§ Communication: express and transmit information with consistency and clarity.
§ Organization: create and keep deadlines, prioritize tasks and multi-task.
§ Highly accurate: accurate in work so documents are precise and professional.
§ Analytical: use logical reasoning when addressing a situation to arrive at an appropriate solution (evaluate, interpret, and analyze information).
Job Type: Full-time
Pay: $40,000.00-$50,000.00 per year
