Job Summary
We are looking for an experienced and detail-oriented Administrative Manager to join our Property Management Division. Reporting directly to the Division Head, this role will take the lead in managing administrative operations and supporting senior leadership in the coordination of property-related projects. The ideal candidate will have a strong background in commercial property operations with proven experience in contract management. This is a key position requiring excellent organizational, communication, and documentation skills, as well as the ability to lead by example and support a fast-paced, deadline-driven team environment.
Responsibilities
- Lead and coordinate daily administrative functions for the Property Management Division
- Draft, review, and manage lease agreements, service contracts, and legal correspondence
- Liaise with government departments on various permit and licensing applications
- Support the Division Head with scheduling, correspondence, project planning, and reporting
- Monitor and track important deadlines related to tenant agreements, contract renewals, and compliance documentation
- Address and follow up on tenant inquiries, requests, and administrative needs professionally
- Support HR functions within the division
- Collaborate with cross-functional teams to support company-wide initiatives and operational needs
Qualifications
- Minimum 2 years of administrative experience in a managerial or supervisory role
- Solid background in property management preferred
- Post-secondary education in Business Administration, Legal Studies, Real Estate, or a related field
- Experience working in or with a legal firm is considered a strong asset
- Strong understanding of lease documentation and contract terms
- Excellent communication and interpersonal skills for engaging with tenants, trades, and professionals
- Highly organized, with a strong attention to detail and ability to meet tight deadlines
- Comfortable working independently while supporting senior leadership
- Proficient in Microsoft Office (Word, Excel, Outlook
- Fluency in Cantonese or Mandarin is an asset
