Position Description
The Hospital for Sick Children (SickKids) is Canada's leading paediatric hospital, located in downtown Toronto. SickKids continually strives to be a leader in healthcare and is currently undergoing a phased strategic capital planning initiative to redevelop and transform the SickKids campus ('Project Horizon') to support the future delivery of world class paediatric healthcare, teaching and research. While the campus is being redeveloped, it remains operational, growing and evolving, with support from the Facilities Project Management Office's Space Management Team to effectively manage the limited space footprint.
SickKids' Facilities Project Management Office is seeking a Project Coordinator, Space Management with the skills and knowledge required to participate in the successful transition to updated space management procedures and a space audit. This role is primarily focused on supporting Space Management but may also support other projects and activities delivered by the Facilities Project Management Office or Project Horizon team. The role is contract in nature for a minimum of 12 months and 1 day with the option to extend.

The role will require an incumbent with good communication skills, leadership, people skills, ambition, drive, and time management traits that would provide effective skills within your role to execute your projects and initiatives and predict outcomes ahead of completion. SickKids is looking for an enthusiastic and passionate individual that is committed to their goals within their role and will work with a can-do attitude. Your role will require you to be an efficient contributor with the capabilities of solving problems, either with the team or individually; with support from other members of the Facilities Project Management Office (FPMO), FPMO Director, Project Horizon team or other leaders within the portfolio, as required. An effective Project Coordinator within this role will be required to plan effectively; ensuring that the work is coordinated, organized and completed in an efficient manner.
The Project Coordinator will provide support in the management of space on SickKids campus, leased facilities and all related processes. The primary role relates to conducting a space audit but other tasks may include updating or developing related documents and materials, reporting to and engaging various stakeholders and committees and other related work to ensure that project objectives, including schedule, budget are met and improved when possible in accordance to the departmental Project Guidelines and Procedures Manual.
Other duties of the Project Coordinator include site reviews, drawing updates in AutoCAD, document revisions and other duties as required.
Project Coordination
Involved in the following activities:
- Work with the Program Manager, Space Management to plan and execute a space audit of SickKids campus
- Update space database and other relevant systems and perform quality control checks
- Assist with triaging and assessing incoming space requests
- Coordinate review and validation of space-related information with end users to ensure the space management documents and database are complete and accurate
- Assist in identifying and resolving any discrepancies in space usage and authorization
- Update base building floor plans and maintain all reference drawings including furniture layouts, as required
- Maintain effective working relationships between all team members, stakeholders, consultants, vendors and others on projects
- Controls space-related documents in accordance with the procedures for document control and filing as per departmental Project Guidelines and Procedure Manual
- Assists in space management project financial tracking and forecasting.
- Developing and updating tools, manuals, guidelines, policies, templates, forms and Intranet information to support space management activities and processes
- Support the Project Managers / Planners (where applicable) and internal team members throughout the life of the project. In some cases, the Project Coordinator may manage minor projects on their own depending upon size and complexity
- Scheduling and coordination of meetings with Committees, department representatives, consultants/ vendors (if needed) and required team members
- Communicates project results to the Director, Committees, other project managers and key stakeholders, and makes recommendations to project stakeholders (as appropriate) regarding the long-term implementation of project initiatives based on learning gained during the project lifecycle
- Liaises with other teams and committees at SickKids as needed
Here's what you'll need
- A post-secondary degree or diploma or equivalent work experience
- Experience in fast-paced environments, working with diverse teams
- Experience working with Microsoft Office applications, especially Excel
- Proficiency in AutoCAD
- Knowledge of relevant codes and standards including OBC and AODA
- PMP Certification or completion of a Project Management program is an asset.
- Background in architecture, interior design or related fields would be considered an asset
- Experience with Archibus, ServiceNow, space booking systems and/or space utilization sensor systems preferred

Employment type: 12-month full-time (35 hours/week) contract position with option to extend
Due to nature of the work related to campus space management, this is not a remote/hybrid position, the duties are primarily on site.
