Shkaabe Makwa at CAMH is the first Indigenous-led hospital-based Centre in Canada established to improve the health and wellbeing of First Nations, Inuit, and Métis across Ontario by advancing wholistic models of mental health and wellness care that are rooted in traditional healing practices. We deliver care, co-design research, and mobilize knowledge and tools to transform health systems. We action community-identified solutions to foster health justice.

Situated within the Strategy and Planning portfolio at Shkaabe Makwa, the Operations Team provides administrative and operational support to ensure that initiatives carried out by the Centre run efficiently from idea to implementation. The Program Officer will assist the Manager, Operations with human resources administrative tasks such as coordinating recruitment, onboarding, and mentorship activities and acting as general support for teams as per the key accountabilities listed below.

Position Description and Responsibilities:

Shkaabe Makwa is seeking a full-time, permanent Program Officer to join our Operations team. Reporting to the Manager of Operations, the successful candidate will play a key role in supporting both new and ongoing initiatives, working closely with Managers, Scientists, and staff. This role will provide day-to-day operational support by liaising with various CAMH Departments including Finance, Procurement, Human Resources, Research Services and IMG. The Program Officer will assist with monitoring project progress, maintaining accurate records of project activities, and preparing reports as required.

Key responsibilities will be to support operational planning and monitoring, including data entry, report generation, and task follow-ups. Monitoring project budgets, support grant submissions, and assist with budget development. The incumbent will maintain well-organized financial files and records, process invoices and review expenditures. They will also liaise with internal and external stakeholders to execute financial transactions and procurement procedures.

This role will support the Manager of Operations with drafting service contracts and support procurement in alignment with institutional policies. Assist with the development of Standard Operating Procedures (SOPs), departmental processes, templates, and forms. They will also coordinate meetings, events, and correspondence with internal and external stakeholders, while fostering a healthy, inclusive and respectful workplace culture.

This position is located at 60 White Squirrel Way.

Job Requirements

Preference will be given to First Nations, Inuit, or Métis persons with demonstrated education and community connections.

  • Bachelor’s degree in Business Administration, or an equivalent combination of education and experience, including at least two (2) years of operational and/or advanced administrative experience.
  • Strong written and oral communications skills as well as interpersonal skills.
  • Demonstrated experience in preparing and presenting both financial and narrative reports.
  • Experience with project administration: Tracking expenses, booking meetings/events, and correspondence with external stakeholders is required
  • Demonstrated ability to build and maintain relationships with local, provincial and national Indigenous-led/Indigenous-focused organizations, First Nations, Inuit, and Métis communities, service providers and system partners.
  • Excellent time management and organizational skills with the ability to multi-task and meet tight deadlines.
  • Familiarity with procurement procedures and service contract development
  • Experience or formal training in human resources management and knowledge of Ontario’s Employment Standards Act are a desirable asset
  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Access, SharePoint, Outlook,) and virtual meeting platforms (e.g. WebEx), Ability to learn new programs quickly.
  • Experience using RedCAP (Research Electronic Data Capture) platform strongly preferred.
  • Ability to manage sensitive and confidential information in a professional manner
  • Commitment to principles of equity, inclusivity, respect, and social justice
  • Knowledge with Ontario’s Mental Health and Addiction system/services an asset
  • Deep understanding of Indigenous traditions, cultures, and values and how to incorporate them in healthcare and organizational processes.
  • Ability to work effectively with diverse individuals in various settings.
