Tasks:
- Greet patients upon arrival, direct them to the appropriate contact or service, and provide general information in person, by phone or by email while maintaining information security.
- Respond promptly to patient and departmental inquiries via phone, email, and Oscar messages, including the web portal.
- Schedule and confirm medical appointments and referrals accurately, using our EMR system and other applicable computerized systems, in collaboration with other departments.
- Verify OHIP eligibility for patients and provide information on the rationale, function, and cost of insured and non-insured tests.
- Log all patient interactions and call details in the EMR according to standard operating procedures.
- Perform administrative duties such as completing insurance and claim forms, initiating and maintaining confidential medical files, and preparing medical reports, correspondence, spreadsheets, and documents for review.
- Handle and receive payments, issue receipts, and manage the receipt and faxing of reports to referring offices.
- Operate a switchboard to answer, screen, and forward telephone calls, take messages, and provide necessary information.
- Ensure that all appointments, and patient interactions are documented correctly and communicated effectively.
- Audit work for accuracy, track weekly metrics, and ensure proper documentation is recorded in patient logs and office communications.
- Assist in managing various office administrative tasks, including ordering supplies, maintaining inventory, preparing financial statements and billing, and establishing office procedures.
- Perform additional duties as assigned and assist with staff training as needed.
