Job Overview
Whistler Welding Services is seeking an organized, proactive, and detail-oriented Office Coordinator to join our team. This key role supports the administrative operations of the business, oversees front desk coordination, maintains essential health & safety documentation, and ensures the smooth functioning of the front office.
The ideal candidate will possess a positive attitude, strong multitasking skills, and experience working as an administrator within the construction industry. A knack for maintaining an efficient, well-organized office environment is essential.
Key responsibilities include:
- Serving as the first point of contact via phone and email
- Managing office communications, including answering and transferring calls and assisting walk-in clients with requests and sales
- Processing incoming and outgoing mail, and supporting client interactions
- Tracking and managing office supplies, stock orders, and inventory control
- Creating and managing internal schedules, vacations, meetings, and company events using Outlook
- Assist the Project Coordinator including; shipping manifests, inventory forms, packing slips.
- Overseeing administrative workflows, managing internal forms and templates
- Supporting Health & Safety initiatives, including WCB compliance, safety meetings, audits, and training documentation
- Maintaining physical and digital filing systems
- Coordinating company insurance certificates, IT systems, and general office operations
- Providing support for the General Manager and Financial Controller as needed

Qualifications:
- Proven experience in office administration, coordination, or similar role within the construction industry - preferred.
- Strong organizational and multitasking skills
- Excellent communication skills (phone and email)
- Proficiency in MS Office (Outlook, Excel, Word)
- Ability to work independently and prioritize tasks effectively
Job Type: Full-time
Pay: $27.00-$30.00 per hour
Expected hours: 37.5 per week
