Overview
We are seeking a detail-oriented and proactive Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing administrative tasks, supporting staff, and maintaining organized records. This position requires strong organizational skills, a customer service mindset, and proficiency in various software applications.
Responsibilities
- Manage daily office operations, including scheduling appointments and coordinating meetings.
- Maintain organized filing systems for both physical and electronic documents.
- Perform data entry tasks accurately and efficiently to ensure up-to-date records.
- Provide excellent customer service by responding to inquiries via phone and email with professionalism and courtesy.
- Assist with bookkeeping tasks using Sage 50, including invoicing and tracking expenses.
- Proofread documents for accuracy and clarity before distribution.
- Utilize Microsoft Office 365 for document creation, spreadsheets, and presentations.
- Support clerical functions such as copying, scanning, and organizing office supplies.
Skills
- Strong organizational skills with the ability to prioritize tasks effectively.
- Proficiency in Microsoft Office 365 Suite (Excel, Outlook, Word, etc.) for document management.
- Experience with Sage 50 accounting software is preferred.
- Excellent customer service skills with a friendly phone etiquette.
- Attention to detail with strong proofreading capabilities to ensure high-quality work.
- Competent in data entry with a focus on accuracy and efficiency.
- Familiarity with clerical duties including filing, typing, and general office management tasks.
- Diploma from a recognized post secondary institution for Office Administration or equivalent required. On the job experience will be considered.
