ABOUT THE ROLE: The Office Administrator supports The Grounds Guys of Winnipeg in day-to-day functioning through managing the office including supporting crews while providing exceptional customer service. Maintains a positive work environment through organization and support. Primary duties include reviewing crew production, data entry and general office administration.
Responsibilities include but are not limited to the following:
- Setting up crew schedules (recurring work) and reviewing their time management to keep the project profitable with a strong ability to provide constructive feedback to elevate teams performance
- Daily reviews on LMN (Landscape Management Network software)) including but not limited to the crew timesheets have been correctly clocked into, completed jobs are checked off, informing management of any issues from uploaded photos.
- Confirming the daily schedule is being followed as laid out.
- Reviewing non jobsite time using GPS tracking.
- Setup invoicing once jobs are complete.
- Completing estimates in LMN for the salesperson and submitting to customers once approved by email in a timely manner.
- Scan, file, and organize both physical and electronic documents
- Type correspondence and prepare various documents
- Provide general clerical and administrative support as needed

- Answer and direct phone calls; manage voicemail messages
WHAT YOU WILL NEED TO BE SUCCESSFUL IN THIS ROLE:
- Excellent written and verbal communication skills
- Minimum of 2 years of administrative experience
- Consistently asking clarifying questions to eliminate assumptions and align expectations
- Familiar with LMN (Landscape Management Network) or similar SaaS programs.
- Ability to work both independently and collaboratively in a fast-paced setting with minimal supervision
- Excellent organization and time management skills with ability to prioritize tasks, meet deadlines, and manage competing demands effectively
- Proficient in Google Docs, Sheets and Drive
- Familiarity with general office equipment
- Willingness to take initiative and grow into greater responsibility
- The ability to adapt and change in a dynamically growing entrepreneurial company.
