Overview
We are seeking a detail-oriented and organized Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office, providing essential clerical support and assisting with customer service in a professional environment. This position is vital for maintaining efficient office procedures and delivering exceptional service to our clients.
Responsibilities
- Manage daily office operations, including clerical tasks and data entry.
- Invoicing, credit issuance, purchase order preparation.
- Processing customer orders, receiving goods.
- Process customer payments, vendor invoices and post in accounting software.
- Provide outstanding customer support by addressing client inquiries and resolving issues promptly.
- Maintain organized records and files, ensuring accuracy in documentation.
- Utilize phone systems effectively to communicate with clients and vendors.
- Process product exchanges, returns and warranty replacements. Prepare product for return to vendor.
- Support the office by adhering to industry standards and protocols.
- Collaborate with team members to enhance workflow and improve office processes.
Experience
- Previous experience in an office administration role is preferred, particularly within the medical device field.
- Understanding of Health Canada regulations preferred.
- Experience with Sage Business Vision an asset.
- Strong Microsoft Office proficiency a must.
- Strong clerical skills with proficiency in data entry and record management.
- Excellent customer service skills, demonstrating a commitment to client satisfaction.
- Familiarity with computerized systems and office software applications.
- Exceptional organizational skills with the ability to prioritize tasks effectively.
- Experience with phone systems, ensuring clear communication within the team and with clients.
- Fluent in English, written and verbal.
- Bilingual (French) not required, but an asset.
