Envirochem is currently seeking an office administrator to join our admin group. We are looking for an energetic self starter to manage our North Vancouver office.
This is a full time in office position, with some flexibility about the number of hours worked per day.
Key Responsibilities:
- Responsible for all aspects of office operations, including determining and implementing improved processes.
- Responsible for office administration, coordinating and planning for office services, such as:
- Reception: handling phone calls, emails, and other correspondence while prioritizing urgent matters and maintaining professional communication
- Ordering office supplies, managing inventory levels, and coordinating equipment maintenance to ensure a well-stocked and efficient workspace
- Instilling a sense of fun into the workplace - ordering treats for office meetings, organizing client and staff gifts and donations, decorating the office for seasonal occasions.
- Liaising with clients, vendors, and staff to relay information, schedule appointments, and support business operations.
- Liaising with office suppliers such as the landlord, equipment suppliers, coffee services, recycling and travel agents.
- Managing phone plans, ensuring office equipment is maintained.
- Document creation and editing, such as: editing and formatting business documents (proposals, resumes, presentations, internal documents) and technical reports; creating document templates; updating procedure and policy documents.
- Document management, including organizing electronic folders, and organizing and filing paper and electronic documents.
- Depending on your interests you may also create online marketing materials and Sharepoint dashboards.
Required Skills / Qualifications:
As a minimum, the successful candidate must meet the following requirements to be considered:
- Two or more years of experience in office administration
- Secondary school diploma
- Excellent spoken and written communication skills
- Excellent MS Word skills - for creating and formatting documents, including tables of contents, tables, and appendixes
- Strong skills in other MS Office programs and in SharePoint
- Strong organizational and time management skills
- Ability to multi-task and prioritize work load in a busy office setting
- Must be a self-starter who works well independently and as part of a close team
- Must respect confidential and sensitive information
Additional Assets:
- Excellent interpersonal skills and cultural intelligence
- BC Driver’s license
