Position Summary

We're searching for a dedicated Office Administrator, Communications to provide essential administrative support and counsel to the Managing Director, Communications. This pivotal role works independently, exercising sound judgment to prioritize matters and ensure the smooth operation of the entire Communications division.


Job Duties/Responsibilities


As the Office Administrator, you'll be at the heart of the Communications team, handling a diverse range of responsibilities:

  • Executive support: Provide comprehensive administrative support to the Managing Director, Communications, including managing their schedule, coordinating meetings, handling confidential correspondence, anticipating needs and proactively addressing issues
  • Workflow management: Direct and manage the workflow for the department, especially tasks generated from the Board of Trustees and Superintendent Service Requests. You'll ensure deadlines are met and accountability is maintained
  • Financial oversight: Oversee financial systems, prepare detailed financial reports, and monitor budgets. You'll assist with annual budget planning and implementation, reconciling reports, and ensuring accurate financial records
  • Team leadership: Supervise and direct one support staff position, coordinating administrative needs and monitoring workload to ensure efficient team operations
  • Policy and procedure implementation: Implement and communicate departmental and divisional policies, from overtime procedures to health and safety guidelines.
  • Information management: Plan, develop, and implement efficient filing, recording, and tracking systems, maintaining strict confidentiality for personnel and departmental files
  • Communications support: Assist with media request approval and workflow processes, with internal stakeholders


Education/Qualifications
  • Education: A high school diploma plus a two-year post-secondary program.
  • Experience: A minimum of three years of related experience, including a senior administrative role.
  • Skills: Strong consulting abilities, effective decision-making, and a high degree of independence. You possess sound analytical skills and a solid understanding of financial and accounting procedures.
  • Confidentiality: Uphold strict confidentiality and handle sensitive information with unwavering discretion.
  • Technology: Proficiency with Microsoft Office, Google Workspace, Oracle, Finance Live, eBiz, Marview, Budget Planning System, Time Recording System

Rate of Pay


$46.38 - $59.27 per hour
