COOEC CA is looking for an Office Administrator to support its daily operations. This position will be an in-person role working out of our Calgary office.
Job Description:
- Filing important documents, such as reports, meeting notes, emails, and letters.
- Processing and filing invoices.
- Overseeing office supplies and services, including restocking supplies, relocating workers to new areas, setting up desks and equipment for new hires, or creating important office forms.
- Supporting bookkeeping and budgeting services.
- Aiding correspondence for the office, such as emails, letters, packages, and phone calls.
- Updating of office records and databases that contain personnel, financial, and office data.
- Booking flights and arranging travel for company executives.
- Booking meeting rooms for colleagues/executives.
- Activating/Deactivating office scan cards.
- Helping to decorate company office for holidays/important events.
- Ensuring availability to help colleagues and workers where necessary.
- Visa Application Coordination with Law firm/ China HQ;
- Other administrative duties required when necessary.
Qualifications:
- Strong organizational abilities to manage office operations efficiently.
- Excellent written and verbal communication skills for effective interaction with colleagues
- Proficient in using office software such as Microsoft Office Suite and other relevant applications.
- Ability to identify and resolve issues quickly and effectively.
- Effective time management skills to prioritize tasks and meet deadlines.
- Capability to handle multiple responsibilities simultaneously.
- Ability to adapt to changes in a fast-paced work environment.
Job Types: Full-time, Fixed term contract
