Job Summary
We are seeking a detail-oriented and organized Office Administrator to join our team. The ideal candidate will be responsible for managing daily office operations, providing exceptional customer service, and ensuring efficient administrative support. This role requires proficiency in various software applications, strong clerical skills, and the ability to multitask effectively in a fast-paced environment.
Responsibilities
- Manage front desk operations, including greeting visitors and handling inquiries.
- Answer and direct calls using a multi-line phone system with phone etiquette.
- Perform data entry tasks accurately and efficiently.
- Maintain organized filing systems for easy retrieval of documents.
- Provide customer support by addressing client needs and resolving issues promptly.
- Assist with bookkeeping tasks, including invoicing and tracking payments using QuickBooks.
- Utilize Microsoft Office for document creation, emailing and organization.
- Proofread documents for accuracy and clarity before distribution..
- Collaborate with team members to enhance office efficiency and improve processes.
Qualifications
- Experience in an office environment with strong administrative skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent typing skills with attention to detail for accurate data entry and proofreading.
- Strong customer service orientation with effective communication skills.
- Experience handling clerical duties such as filing and managing correspondence.
