Temporary Part-Time Medical Secretary (with potential to extend)

The primary role of the medical secretary is to provide clinical and administrative support to a physician within the Department of Clinical Neurological Sciences, London Health Sciences Centre, University Hospital.
The medical secretary coordinates daily activities of the physician's office/clinic and ensures smooth functioning of the physician's practice while providing professional and caring service to patients. Administrative work includes, but is not limited to, academic and research support.
Duties may include but not limited to all aspects of scheduling patients, the organization and maintenance of a busy clinical office and activity, being the first point of contact when patients and referring physicians contact the office, tracking and arranging patient referrals, follow-up with patients, fellows, residents etc., provide liaison with various internal and external stakeholders, organizing meetings and outlook calendar.
RESPONSIBILITIES
- Scheduling patients referred for consultation visits; scheduling physician appointments, monitoring attendance/no show rate, managing disposition decisions post assessment diagnoses;
- Answering, screening, and transferring phone calls
- Registering patient visits, creating and updating patient charts;
- Liaising and coordinating services with internal and external care team to provide seamless service for patients.
- Providing excellent customer service;
- Maintaining patient confidentiality;
- Effectively prioritizing work and facilitating clarification of priorities with physician, where required;
- Creating and maintaining an efficient filing system for active, pending, and processed referral, including tracking;
- Attending meetings: taking and typing of meeting minutes, general meeting set up and preparation including booking and follow up.
- Assisting in the development and implementation of new projects; organizing and coordinating multiple research projects including: monitoring of budgets, overseeing staffing activities;
- Enter data for statistics as per physician office requirements for office/clinic/research/teaching/resume/quality improvement/financials.
- Performs cross functional and other duties as assigned and/or requested.
QUALIFICATONS
- Experience with Electronic Medical Records (Cerner One Chart)
- Excellent computer skills particularly with Adobe Acrobat Pro, Microsoft 365 (Outlook, One Drive, Word, Excel, PowerPoint etc.)
- Knowledge of a safety culture in a health care setting in compliance with the OHSA
- Excellent understanding of medical terminology
- Detail oriented and demonstrated accuracy with the work involved
- Ability to work independently and within a team
- Graduate of a recognized Office Administration or Medical Secretarial program, or equivalent experience;
- Excellent interpersonal and communication skills;
- Professional and consistent customer service skills.
