About the Role:
The Master Rotation Scheduler is responsible for designing, building, and maintaining clinical and non-clinical staff rotations across multiple hospital sites. This role ensures that rotations meet collective agreement provisions, operational needs, staffing requirements, and regulatory standards while supporting staff satisfaction and patient care delivery. The Scheduler works closely with leaders, HR, union partners, and frontline staff to develop and sustain accurate, equitable, and efficient scheduling practices. Qualified individuals MUST be certified in Master Rotation Design at the time of application.
Rotation Design & Development
- Develop and maintain master rotations for clinical and support staff across all hospital sites.
- Ensure compliance with collective agreements, labour laws, and hospital scheduling policies.
- Balance operational requirements (e.g., coverage, patient safety) with staff needs (e.g., work-life balance, seniority).
- Incorporate specialty certifications, skill mix, and professional designations into rotations.
- Partner with HR and department leaders to forecast staffing requirements and align schedules with workforce planning.
Scheduling & Maintenance
- Build, validate, and publish staff schedules in the hospital’s scheduling system (e.g., UKG Dimensions / Pro, Workday).
- Track and update staff skills, licenses, and certifications to ensure appropriate assignment.
- Adjust schedules proactively in response to leaves, vacancies, or changes in operational demand.
- Support managers and supervisors with interpretation of scheduling rules and best practices.
Change Management & Training
- Act as a subject matter expert on scheduling tools and processes.
- Support the training and certification of staff and leaders as Master Rotation Specialists where required.
- Support change management initiatives during transitions to centralized scheduling or new technology.
- Document scheduling workflows and maintain scheduling procedure manuals.
Data, Reporting & Continuous Improvement
- Conduct schedule audits to ensure accuracy, compliance, and fairness.
- Generate and analyze staffing and scheduling reports (e.g., overtime, absenteeism, shift coverage).
- Collaborate with workforce analytics and HR teams to improve efficiency and optimize scheduling models.
- Recommend improvements to enhance staff satisfaction and operational effectiveness.
Qualifications
This role is contract for approximately 12-15 months, remote with occasional travel to site in Ontario and independent contractors will be preferred. Candidates should also have Canadian hospital experience working with Workday, UKG and other related systems. CMRD certification required.
