The Toronto Psychology Clinic is a rapidly growing and busy private practice providing psychological consultation, assessment and treatment for a range of mental health issues to children, adolescents and adults. Providing culturally-informed, evidence-based, and inclusive services is a priority at our clinic. Our clients are people of diverse ethnic, racial, sociocultural, sexual, gender identities and various abilities and these are lived experiences that we value and attend to throughout our work. We are a multidisciplinary and collaborative team of professionals that include psychologists, social workers, psychotherapists and graduate students. We are looking for a highly motivated, organized, empathic and experienced individual to assist us with our client services needs.
About the Role
Reporting to the intake coordinator, the intake assistant will assist with new referral calls, screening and matching with therapists, documentation, managing database and other administrative work. You should be able to meet deadlines, pay attention to detail, and communicate openly and effectively.
This is a full-time salaried position. The person must be available Monday to Friday, with flexibility to work some evenings and weekends based on the needs of the business. This role requires a combination of in-person and virtual shifts.

Responsibilities include:
- Complete mental health screens with new referrals seeking treatment
- Assist with managing new intakes, bookings, and waitlist
- Demonstrate strong problem-solving skills by offering input, feedback, and recommendations to improve processes, quality, and operations
- Assist with developing and implementing intake policies and procedures
- Maintain and handle personal health information with care and in accordance with provincial regulations
- Other administrative duties as assigned
Qualifications required:
- Minimum of 2 years experience in an administrative role; ideally in a health clinic
- Completion of a post-secondary Diploma or Degree in a relevant field preferred
- Experience creating and implementing administrative and operational policies and protocols
- High computer proficiency that includes Microsoft Word, Microsoft Excel, Google Drive
- Ability to take initiative, make recommendations and problem solve independently
- Excellent English oral and written skills
- Ability to work effectively and efficiently in a fast-paced environment
- Ability to multitask and prioritize urgent tasks
- Exceptional communication and interpersonal skills
- Excellent organizational and time management skills
- Passion for working in the mental health field and understanding of racial justice issue
- Experience with Janeapp is an asset but not required
