We are looking to hire a Legal Assistant to join our team, with a minimum of three years of experience as a legal/administrative assistant in immigration and refugee law. In addition, we are seeking the following qualifications:
- Minimum three years of experience as a legal assistant in immigration and refugee law.
- Client-Focused: A commitment to providing excellent client service, including the ability to handle client inquiries professionally and with empathy.
- Communication Skills: Strong verbal and written communication skills. Ability to communicate effectively with clients, government agencies, and internal team members.
- Organizational Skills: Exceptional organizational and multitasking abilities to handle a diverse caseload and administrative responsibilities simultaneously.
- Ability to work independently and proactively
- Ability to prioritize, multitask and achieve deadlines in a fast-paced environment;
- Technologically proficient: Highly proficient in Microsoft Word, Adobe Acrobat Pro, Outlook, OneDrive, and the Microsoft 365 ecosystem (including Teams and Bookings). Comfortable learning and using legal practice management tools (e.g., Clio) and document automation systems.
Responsibilities:
The responsibilities for this include
- Support the lawyer in handling a wide range of immigration matters, including but not limited to judicial reviews, IRB matters, H&Cs, spousal sponsorships, temporary residence applications, and economic class files.
- Assist in collecting and organizing client information and supporting documentation in a timely and structured manner.
- Prepare, format, and organize submission packages, disclosure documents, and legal materials in accordance with firm and court/tribunal requirements.
- Draft basic legal correspondence, template-based submissions, and cover letters under the supervision of the lawyer.
- Maintain well-organized digital client files using Microsoft OneDrive and Clio Manage, following the firm’s naming conventions and file structure protocols.
- Communicate with clients to collect information, provide updates, and respond to general inquiries in a professional and empathetic manner.
- Monitor and respond to emails, calls, and messages from clients and government bodies, escalating as needed.
- Schedule meetings and consultations and manage the lawyer’s calendar as needed.
Remuneration:
The salary range for this position is $60,000 to $70,000 per year, commensurate with experience and qualifications. We offer:
