Responsibilities
The Human Resource Assistant is responsible for supporting the effective and efficient delivery of human resources, as well as finance and operational functions within Western Continuing Studies (WCS). The role contributes to the ongoing refinement of HR and administrative processes and procedures, assists with payroll processing and statutory holiday pay calculations, hiring of instructors, prepares and processes paysheet requisitions, and supports the administration of staff appointment notices and employment contracts. The Human Resource Assistant coordinates onboarding and offboarding processes for employees, ensuring accurate documentation and compliance with HR policies, and assists in developing and refining related procedures. The role will learn and navigate Western University's HR systems, maintain and update HR records and reports, and assist with implementing or revising HR workflows to improve efficiency. The Human Resource Assistant also provides administrative support for the training and development of instructors, including LMS support, and assists with professional development initiatives. In addition, the role will pull and analyze financial reports and perform miscellaneous administrative tasks as required. The Human Resource Assistant acts as a resource for staff and instructors, providing guidance regarding WCS, Faculty, and University procedures, and directing inquiries to appropriate individuals or resources as needed.
Qualifications
Education:
- 3-year University Degree in Business Management/Administration or related field
- Completion of HR-related courses is required
- Working towards or completion of CHRP designation is an asset
Experience:
- Experience working in an office setting preferred
- Exposure to HR processes or administrative tasks is an asset
- Experience providing administrative and operational support in an academic environment is preferred
- Experience with payroll administration and HR systems is an asset
Knowledge, Skills & Abilities:
- Knowledge of payroll processes and the ability to prepare accurate calculations for statutory holiday pay and other entitlements
- Strong organizational skills to coordinate multiple HR and administrative tasks while maintaining accuracy and attention to detail
- Ability to navigate HR systems and databases, with a willingness to learn specialized university software
- Verbal and written communication skills to clearly and professionally express ideas, adapt messages to different audiences, and draft accurate documentation
- Ability to handle sensitive and confidential information with discretion
- Self-motivated, resourceful, and adaptable to changing priorities and demands
- Strong customer service orientation with the ability to build rapport with diverse stakeholders
- Ability to analyze data and generate reports for decision-making purposes
- Competency in event and training coordination, including supporting professional development activities
- Ability to work independently and collaboratively within a team to achieve departmental goals
- Proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint) to prepare correspondence, reports, and data analysis
- Familiarity with Western's systems and applications preferred (e.g., PeopleSoft HR, PeopleSoft Financials, Brightspace)
- Knowledge of Western University's HR policies and guidelines preferred
