Overview
The Delivery Coordinator plays a crucial role in ensuring the efficient and timely delivery of products to customers. This position requires strong communication skills, a commitment to customer service, and the ability to handle physical tasks associated with moving and delivering goods. The ideal candidate will be organized, detail-oriented, and capable of working in a fast-paced environment.
Duties
- Communicate with customers
o Provide customers with delivery windows
o Coordinate rescheduling deliveries with customers
o Manage customer expectations in regards to delivery process
o Assuage customer concerns relating to delivery process
o Answer customer questions and/or direct them to someone who can provide more in-depth assistance
- Maintain transparency with stores
o Provide updates on issues regarding products for their home delivery orders (damaged, missing from warehouse, not sent from store etc.)
o Investigate transfers & cancellations, locating items and completing end-user inventory tasks to transfer items out of HD
o Communicate transfer issues to all relevant parties to ensure goods can be sourced for delivery
o Reschedule customer orders as requested
- Inventory Management
o Receive store and warehouse transfers, physically verifying the items are correct,
o Receive all dispatches in system, ensure physical copies are organized for future inventory queries
o Send secondary and tertiary copies of transfer sheets to designated locations
o Answer questions from inventory department about status of orders or existence of goods in HD department
o Coordinate with warehouse team when product cannot be located in the warehouse, communicate issues to relevant parties
o Ensure all shipped goods have been dispatched and all cancellations are transferred from HD area
o Coordinate with repairs to ensure uplifts, exchanges and other returned items are managed satisfactorily
- Delivery Responsibilities
o Oversee the assembling of furniture, verifying goods are in good condition and well-assembled and wrapped prior to delivery
o Ensure all outgoing trucks are neatly staged with all correct orders
o Verify goods on all outgoing orders one day prior to delivery, both for completeness and potential product issues
o Look ahead to proactively manage transfers that will not arrive prior to delivery
o Create and complete outgoing dispatches, ensuring all relevant orders are properly marked in the system
o Maintain an open line of communication with team members to ensure problems with outgoing deliveries are confronted in a timely manner
o Update Run Sheets when orders are added, add relevant notes from customers when needed
o Manage collection of relevant records post-delivery (run sheets, physical copies of transfers etc.)
§ Organize recently collected physical copies, maintaining a system of organization for ease future reference
- Housekeeping
o Ensure HD area is organized and tidy, including desk area, warehousing space and assembly zone
o Manage day-to-day productivity of warehouse-based home delivery staff, ensuring tasks are completed in a timely fashion
o Communicate larger-scale issues with any day-to-day processes to relevant member of management (e.g. inventory system errors)
o Cover any additional day-to-day HD tasks in event of absences of any other team member
Experience
- Previous experience in a delivery or logistics role is preferred but not required.
- Familiarity with commercial driving regulations and safety practices is beneficial.
- Experience in customer service or warehouse operations is a plus.
- Ability to perform heavy lifting as required by the job responsibilities.
- Strong communication skills to effectively interact with customers and team members.
- A valid driver's license is required; additional certifications for forklift operation are advantageous.
