The Fleet Manager reports directly to the CFO and is responsible for overseeing all aspects of the company’s vehicle fleet including procurement, outfitting, remarketing, maintenance, fuel, vehicle optimization, registration, insurance, safety and compliance. They will leverage available systems, tools, and data toward understanding and meeting the organization’s fleet requirements in a cost-effective manner. The Fleet Manager is instrumental in helping to develop fleet strategies and implementing the technologies, polices, procedures and practices to achieve success.
Job Duties and Responsibilities Include:

Operations and Maintenance:
- Procurement and Remarketing/Disposal – manage the process of acquiring new vehicles (through purchase or lease) and remarketing of existing ones, aligning with company needs and budgets. Including coordination of outfitting, delivery, necessary documentation, and other requirements.
- Fuel Management – administer fuel/fleet cards, monitor fuel consumption, and manage fuel costs.
- Vehicle Maintenance and Repairs – ensure vehicles are appropriately maintained and repaired. Review and approve expenses over established policy thresholds.
- Vehicle Optimization – transfer vehicles amongst the network to meet operations needs while optimizing fleet size and the life and operating costs of the vehicles.
- Vehicle Registration and Insurance – prepare and maintain vehicle registration and insurance.

Safety and Compliance:
- Safety Policies and Procedures – with HSE and operations, implementing and enforcing safety policies and procedures to minimize incidents and ensure workplace safety.
- Driver Management – obtain driver abstracts and files where required. Use available driver performance monitoring tools and information to assist in corrective action and training requirements.
- Regulatory Compliance – monitor the use of vehicles to ensure compliance with established laws, codes, rules, regulations, policies and procedures. Maintain Carrier Profiles.
- Inspections and Maintenance – with operations, ensure safety inspections and resulting maintenance and repairs are performed.

Budget and Cost Management:
- Cost Control - monitor and control operational costs, including fuel, maintenance, and repairs. Identifying opportunities to reduce costs and improve efficiency.
- Budget Management – lead role in the requirements identification and development of the annual fleet budget. Managing and reporting actual vs budget expenditures.

Reporting and Analysis:
- Performance Reporting - analyze fleet performance data, report findings, provide insights and recommendations to management.
- Data Analysis - use data from telematics and other systems to identify trends, predict potential problems, and optimize fleet operations.
- Record Keeping – using fleet management software and other applications and tools, maintain accurate records of vehicle maintenance, inspections, and other relevant data.

Other Responsibilities:
- Implementing new technologies, policies, procedures and practices to enhance fleet operations.
- Staying updated on industry trends and technological advancements.
- Developing long-term strategies for fleet growth and optimization.
- Managing relationships with vehicle suppliers, maintenance providers, and other vendors.
Job Requirements and Qualifications Include:

Strong understanding of:
- Federal and provincial laws, rules, and regulations relating to vehicles, fleets, and transportation.
- OH&S regulations and procedures relating to accident management (i.e. insurance, liability, etc.).
- Federal carrier profiles.
- Mechanical procedures, vehicle and equipment applications, general vehicle and equipment specifications.
- Experience in insurance procedures, inventory management and electronic communication systems.
- Demonstrates a sound understanding of basic accounting/finance and budgeting processes as well as cost effective fleet operations.
- Demonstrates little difficulty in assimilating new information of a numerical nature and can process this data to reach conclusions or understand inferences.
- Strong communication and time management/organizational skills.
- Strong database, and reporting skills.
- Excellent organizational abilities to manage schedules, maintenance, and compliance records.
- Ability to multitask and prioritize tasks efficiently.
- Ability to use fleet management software and tools effectively.
- Strong computer and typing skills, including Excel, Word, PowerPoint, Outlook, and Internet.
- Valid Class 5 driver’s license and clean driving record.
