As a Fire Property Liaison, you will approve, coordinate and communicate projects and daily repairs required for all Calgary Fire Department (CFD) facilities. You will ensure that requirements are met and will liaise with internal Fire divisions to ensure that operations are not disrupted while projects and renovations are executed. Primary duties include:
- Oversee the maintenance request email address, maintain passwords and email templates, answer inquiries from fire members and facility staff, approve site visits and work, and provide account coding for projects and maintenance.
- Escalate issues to the Facilities supervising team and ensure detailed communication is sent out to Fire members about project work, day to day and preventative maintenance.
- Attend project meetings managed and delivered by external parties for lifecycle replacement renovations, and small or large-scale maintenance projects and programs.
- Provide subject matter expertise to the project team, review and comment on designs and specifications, and represent the interests of the fire department.
- Ensure fire response is not disrupted and coordinate member engagement.
- Conduct site visits to ensure construction aligns with CFD requirements alongside the project team prior to, during, and after projects.
- Proactively review fire facility service requests for accuracy and redirect them if necessary to the proper owner of the assets.
- Coordinate with the fire health and safety team to monitor safety facility requests that come through the Joint Occupational Health & Safety Committee (JOHSC) or Safety Data Management System (SDMS) systems.
- Oversee approvals for repairs and request replacements and attend bi-weekly meetings to ensure the accuracy of work and data.
- Gather inventory counts and take pictures inside fire facilities to maintain up-to-date asset information.
- Submit move, design, and furniture repair requests.
Qualifications
- A completed 2 year diploma in Engineering Technology, Business Administration or related area and at least 5 years of experience in contract, property and site management.
- A valid Class 5 Driver's Licence (or provincial equivalent), with no more than 6 demerits and the use of a personal vehicle for business use. Reimbursement for mileage/kilometers will be provided in accordance with Corporate guidelines.
- Intermediate proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook, One Note, Planner) and Adobe.
- Certification as a Certified Facility Manager (CFM), Certified Property Manager (CPM), Facilities Management Administrator (FMA) or Real Property Administrator (RPA) will be considered an asset.
- Experience with Infor Enterprise Asset Management (EAM), Archibus, Financial Supply Chain Management (FSCM) and Livelink will be considered an asset.
- Strong communication and time management skills, attention to detail, conflict resolution skills and the ability to apply judgement and political sensitivity.
Working Conditions: This position will be a varied mix of desk work, warehouses, and construction sites where Personal Protective Equipment (PPE) is required.
