We are looking for an exceptional Executive Assistant to the Executive Vice President.
Duties
- Coordinate and manage the Executive Vice President’s complex calendar, meetings, events, and travel arrangements while proactively handling scheduling conflicts and priorities.
- Draft and manage internal and external communications, including meeting materials, reports, presentations, and minutes.
- Manage both domestic and international travel logistics, ensuring all arrangements align with the EVP’s schedule and preferences.
- Maintain a high level of confidentiality in handling sensitive information and documentation.
- Track expenses and manage budgets; provide regular financial updates to the Executive Vice President and relevant finance personnel.
- Lead or support strategic projects and initiatives from planning through execution, coordinating efforts across departments such as Admissions, Student Services, Education, Human Resources, Finance, and Accounting.
- Monitor project timelines, track deliverables, and ensure alignment with organizational goals.
- Act as a key point of contact for internal and external stakeholders, managing inquiries and maintaining strong, professional relationships.
- Assist with organizing and executing stakeholder events and corporate functions.
- Provide general administrative support to the Executive Vice President, including responding to ad-hoc requests and assisting with various administrative tasks as needed.
- Other duties as assigned.
Qualifications
- Diploma or degree in Business Administration, Office Administration, or a related field. Bachelor’s degree, especially for corporate or executive-level roles preferred.
- Minimum of 5 years of experience in an Executive Support role, ideally within a startup, nonprofit, or fast-paced corporate environment.
- Advanced proficiency in Microsoft Office Suite, Google Workspace, project management tools (e.g., Monday.com), calendar tools, and invoicing/financial management systems.
- Strong written and verbal communication skills, with the ability to interact professionally at all organizational levels.
- Proven ability to manage multiple priorities and thrive in a high-pressure, deadline-driven setting.
- Exceptional attention to detail, accuracy, and organizational skills.
- Demonstrated experience in handling sensitive and confidential information.
- Strong problem-solving skills and the ability to work independently with minimal supervision.
- A proactive, adaptable, and resourceful mindset, with a commitment to continuous learning and professional development.
- Demonstrated leadership potential and a collaborative approach to supporting colleagues and team members.
