Overview
We’re a small but mighty real estate team looking for a dedicated, detail-oriented Executive Assistant to join us in a fast-paced and ever-evolving environment. This role is critical in keeping our operations running smoothly behind the scenes—from listing coordination to client communication and everything in between.
We need someone who can lock in, stay focused under pressure, and take true pride in the quality of their work. You’ll need to be highly organized, proactive, and adaptable. There will be times where urgent deadlines or last-minute showings require availability outside of regular hours, so flexibility and commitment are key.
What You’ll Do
- Manage listings, closings, and leads from start to finish
- Provide administrative support including document organization and filing
- Proof-read and prepare documents to ensure clarity and accuracy
- Handle client inquiries via phone and email with professionalism
- Create listing packages and marketing materials with precision and care
- Maintain and improve operational procedures using project management tools
- Organize and track leads across multiple platforms and systems
- Manage team calendars, coordinate appointments, and book showings
- Utilize Google Suite for everyday operations
- Update and maintain CRM to nurture and track leads
- Support management with day-to-day tasks as needed
- Occasionally be on call or work evenings/weekends during busy periods
What We’re Looking For
- 5-10+ years of experience in a similar role
- University degree or equivalent experience
- Strong administrative, organizational, and multitasking skills
- Experience in real estate is a strong asset
- Confidence with CRMs, Google Suite, and project management software
- Excellent phone etiquette and communication skills
- High attention to detail—nothing gets past you
- Ability to manage people effectively
- Ability to work independently as well as part of a team and stay focused in a fast-paced setting
- A calm, solutions-first mindset when under pressure
- Self-starter who thrives on accountability and continuous improvement
- Design experience with Canva is a plus
- Flexibility to respond to time-sensitive tasks outside standard hours
