As we continue our rapid growth, we are seeking an extraordinary Executive Assistant to join our team! This role is ideal for a proactive, highly organized individual who thrives in a fast-paced, tech-driven environment.
Supporting multiple senior leaders, the Executive Assistant plays a key role in combining strategic support with day-to-day administrative excellence. This full-time position is critical in ensuring the leadership team and office run smoothly and efficiently.
Key Responsibilities
· Manage and optimize calendars for the CEO and senior executives; resolve scheduling conflicts and prioritize meetings.
· Coordinate domestic and international travel (flights, accommodation, transport, itineraries).
· Prepare documents, internal reports, presentations, and executive-level communications.
· Organize internal meetings, leadership offsites, cross-functional reviews, and client sessions.
· Track deliverables, follow-ups, and project milestones to ensure alignment with leadership goals.
· Handle sensitive communications and documents with utmost confidentiality and professionalism.
· Support occasional personal tasks for the CEO, such as scheduling and property maintenance.
· Assist with expense tracking, reimbursements, and related administrative documentation.
· Plan logistics for events including conferences, executive retreats, and team-building activities.
· Streamline processes and develop tools or templates to improve administrative efficiency.
Qualifications & Skills
· 5+ years of executive support experience, preferably in a high-growth or multi-departmental setting or Post-secondary education in Business Administration, Management, or a related field.
· Professional and clear communication skills at all organizational levels.
· Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) and collaboration tools like Slack.
· High emotional intelligence and a proactive, anticipatory work style.
· Excellent organizational, multitasking, and time-management abilities.
· PMP or project coordination experience is considered an asset.
