As part of our expansion, we are now curating a series of exclusive automotive and luxury real estate events designed to showcase Canada’s most prestigious properties while bringing together influential guests and tastemakers.
Role Overview
We are seeking a highly driven Events & Activations Organizer who will take ownership of planning, coordinating, and executing our luxury events. This includes both curated real estate gatherings and automotive activations that bring together an elite community.
This is not just event planning. It is community building, experience design, and brand stewardship. You will work directly with the CEO to ensure every event meets our brand standards, runs seamlessly, and delivers a premium guest experience.
Key Responsibilities
Event Execution
- Lead planning and on-site coordination of luxury events, walkthroughs, and invite-only gatherings.
- Manage logistics including venues, signage, AV, décor, check-in, and hospitality.
- Liaise with vendors, event staff, and luxury service providers.
- Ensure smooth and professional event-day execution from setup to breakdown.
Guest List & Community Management
- Curate and manage guest lists featuring realtors, investors, developers, car collectors, and tastemakers.
- Handle RSVP tracking, confirmations, and all follow-up communications.
- Build long-term relationships with VIP guests and influential community figures.
Agreements & Admin
- Ensure all agreements, contracts, sponsorship terms, and vendor invoices are completed and processed on time.
- Maintain organized records and follow-up systems for each event.
- Work directly with the CEO to keep operations smooth and professional.
Brand Partnerships & Activations
- Help identify and secure luxury brand partners for activations.
- Align sponsors with event themes to ensure collaborations elevate the brand.
- Support partnership communications and deliverables.
Event Promotion (Bonus Skill)
- Assist with exclusive-style event marketing, including email invites and RSVP strategies.
- Support event buzz through platforms like Eventbrite, Mailchimp, and social channels.
- Maintain the invite-only, elevated tone while ensuring the right audience fills the room.
What We’re Looking For
- Experience in event coordination, hospitality, or brand activations. Luxury or real estate preferred.
- Strong communication and organizational skills.
- Ability to manage multiple moving parts and vendors.
- Detail-oriented and proactive with contracts and operations.
- Comfortable working directly with executives and high-profile clients.
- Familiarity with tools like Google Drive, Eventbrite, Notion, and project tracking platforms.
Bonus Points If You Have
- Existing network within Toronto’s real estate, design, or automotive industries.
- Experience with CRM or email marketing for guest management.
- Knowledge of luxury-style activations and hospitality styling.
- Comfort coordinating with media teams for branded content capture.
